Position Summary
The Front Office Assistant plays a crucial role in the practice’s daily operations by supporting staff coordination and patient interactions at Oregon Oral Surgery & Implant Center to ensure a smooth workflow and effective communication. Responsibilities include front‑office tasks, patient coordination, and assistance with strategic planning and community outreach.
Front Office / Patient Coordination
- Greet and check in patients in a professional, welcoming manner.
- Schedule, confirm, and manage patient appointments.
- Answer phone calls and respond to emails courteously and promptly.
- Review documents for missing information and update patient charts.
- Enter and update insurance information in patient records.
- Educate patients about insurance benefits and financial responsibilities.
- Assist with preparing and printing claims.
- Process pre‑authorizations and update treatment plans.
- Handle billing, co‑pays, and other payments accurately.
- Maintain compliant patient records and HIPAA regulations.
- Keep the reception area clean, organized, and presentable daily.
- Maintain coffee machine and check emails, faxes, and voicemails daily.
- Answer patient inquiries about dental services.
- Assist with daily office coordination and communication between staff and patients.
Insurance & Billing Coordination
- Prepare and submit accurate insurance claims, ensuring regulatory compliance.
- Verify patient insurance benefits and coverage; obtain pre‑authorizations when necessary.
- Communicate clearly with patients about coverage, financial responsibilities, and payment options.
- Maintain accurate billing records, claims, and patient communications.
- Ensure all processes comply with HIPAA and internal confidentiality policies.
Qualifications
- High school diploma or equivalent required.
- Previous dental office experience preferred but not required.
- Strong knowledge of dental terminology and insurance billing procedures.
- Excellent organizational, communication, and problem‑solving skills.
- Detail‑oriented with the ability to manage multiple tasks efficiently.
- Comfortable using dental practice management software (experience is a plus).
- Clear understanding of patient privacy regulations.
Working Conditions/Physical Requirements
- Primarily an office environment focused on administrative tasks.
- Sitting 70‑80% of the time; standing 20‑30% of the time.
- Frequent use of hands for typing, filing, and paperwork.
- Close vision required for reading documents and computer screens.
