Essential Duties
and Responsibilities
Manage and support Substitute Teachers, Substitute Special Education Assistants, etc.
Assist with the coordination of substitutes in the mornings
Maintain payroll exception form for class coverage
Assist students on a daily basis with day-to-day needs, questions, and concerns in a fast-paced environment
Assist staff, volunteers and parents with various questions and concerns
Support staff and family communication
Maintain class size records, class lists and student attendance records, including tardiness
Processes memos, letters, reports, and correspondence
Assist with management of the expulsion process, establishing meeting dates, communication with teachers, off-campus teachers, and central district staff
Maintain Assistant Principals' calendar of appointments and meetings
Create and manage student behavioral files as needed
Distribute and maintain records for Metro Bus passes
Assist Assistant Principals and Student Services with the planning and execution of conferences and back to school night
Assist administrative team with other events (i.e., registration, homecoming and graduation)
Process student fees
Assist Assistant Principal with school clubs : events, meetings, rosters, fundraisers, etc.
Process student volunteer hours and produce Service E awards for ceremony
Assist truancy team
Assist with master scheduling
Assist with social media posts
Assist with running electronic sign
Maintain school bulletin boards
Send messages to families using Messenger (e.g., Auto Dialer)
Provide information for the monthly newsletter
Related duties as assigned
Knowledge, Skills, & Abilities Ability to communicate effectively with students, staff and the community both, orally and in writing
Ability to deal with sensitive student and family issues in a confidential and professional manner
Ability to work in a stressful environment and be able to respond effectively to agitated students
Ability to work independently
Ability to maintain accurate records
Ability to complete large projects
Ability to prioritize work completion
Knowledge in the use of personal computers including database applications, Google applications, Microsoft Office Suite, e‑mail, internet searching capability, and other related technology
Knowledge / experience of conflict resolution / de‑escalation strategies
Proficiency with personal computers, including scheduling processes, word processing, and database software
Strong keyboarding skills
Minimum Qualifications Two years successful secretarial experience or a combination of experience and formal secretarial training equivalent to two (2) years, including extensive knowledge of current technology
High school diploma or equivalent
Skill tests in the area of keyboarding skills will be used to consider candidates
Experience working cross-culturally and / or commitment to work toward one's own cultural competence (i.e., valuing difference / diversity, recognizing personal limitations in one's skills and expertise, and having the desire to learn in these areas)
Experience working in a school setting working directly with students who are considered "at-risk"
Experience using Munis or similar employee database applications, Microsoft Office Suite, Google applications, e‑mail, and other related technology
Successful experience building and maintaining a master schedule
Training in the use of Infinite Campus, or similar student data information system
Preferred Qualifications : Native‑like fluency in Spanish and English preferred
Physical Requirements : Ability to work under generally safe and comfortable conditions where exposure to environmental factors is minimal and poses little to no risk of injury. This position requires the ability to lift up to 25 pounds occasionally and may involve walking, sitting, stooping or reaching.
Manual dexterity is necessary for completing general tasks while operating office equipment. This position may require being stationary for extended periods of time.
Working Conditions : Work requires travel to different locations within the district and to off-site meetings.
Position requires working evenings, nights, and some weekends.
Certain positions within the District may allow remote / work from home flexibility for a portion of their work schedule, depending on the needs of the position and the work unit. This topic and any remote work flexibility that may be available will be discussed in more detail in the interview process
School-based positions are required to be in-person unless otherwise directed by the building principal.
