Job Summary Provide primary administrative support to the School Chair, including correspondence, report preparation, file maintenance, meeting coordination, travel arrangements, event planning, and support for faculty recruitment and promotion processes.
Responsibilities
Manage the Chair’s calendar, coordinate meetings, and arrange travel.
Prepare correspondence and reports, conduct statistical data collection and analysis.
Maintain office filing systems and departmental listservs.
Assist in faculty search administration and recruitment.
Process HR paperwork for research faculty hires and immigration documentation.
Coordinate conference planning, seminars, and special events.
Oversee PCard transactions and vendor relationships.
Review and approve correspondence and Workday transactions on behalf of the Chair.
Certify monthly time reporting for faculty and staff.
Provide general administrative assistance and support to Associate Chairs.
Manage correspondence, inbox, and general administrative tasks as needed.
Educational Requirements Technical Diploma, Associate’s Degree, or equivalent combination of education and experience.
Required Qualifications
Four to six years of related job experience.
Overnight travel required.
Flexibility in on‑site daily service delivery hours.
Preferred Qualifications Bachelor’s Degree.
Skills, Knowledge & Abilities Working knowledge of administrative processes in higher education; event planning, organization, communications, customer service, office applications, and specialized computer applications.
