Executive Assistant Superintendent & Board
Puget Sound Educational Service District seeks an Executive Assistant to support the Superintendent and governing board. The role provides complex and confidential administrative support, analyzes requests and makes recommendations, and communicates information on behalf of the district and board.

Job reports to the Superintendent. Application close date: Wednesday, October 1, 2025.
Essential Functions
Compile data from various sources to meet financial, legal, and administrative requirements.
Coordinate activities on behalf of the Superintendent and Board to ensure facility, equipment, and service availability.
Schedule meetings and events with external organizations.
Embed the agency’s antiracist, multicultural values in daily operations.
Evaluate staff, student, and public situations and recommend appropriate actions.
Maintain manual and electronic records in compliance with regulations.
Monitor district activities for compliance with financial and administrative guidelines.
Order departmental supplies and equipment.
Prepare written materials, reports, and documents.
Process invoices and maintain financial records.
Support board meetings, work sessions, and retreats; prepare agendas and materials.
Provide administrative support to ESD programs and departments.
Research topics to provide information and recommendations.
Respond to calls, concerns, and complaints promptly.
Act as liaison to committees and organizations.
Assist the Superintendent with administrative functions.
Other Functions
Assist other personnel as required for an efficient work environment.
Minimum Qualifications
Associate’s degree in a related field and executive‑level administrative experience, or High School Diploma/GED with progressive experience.
Demonstrated equity‑focused decision making.
Professional experience managing multiple projects in a fast‑paced setting (meetings, events, budget tracking, staff oversight).
Strong writing, editing, proofreading, and communication skills.
Proficiency in Microsoft Office, SharePoint, virtual collaboration platforms, and website/content management tools.
Experience managing data in spreadsheets and databases.
Familiarity with CRM or database systems and contract administration.
Ability to build effective relationships with internal staff, external partners, and community partners.
Preferred Qualifications
Experience with board governance platforms (BoardDocs, OnBoard, Convene, BoardPro, BoardEffect).
Professional experience supporting elected officials or governing boards, including agendas and minutes.
Skill navigating sensitive issues with diplomacy and discretion.
Experience planning and supporting high‑stakes executive events, hybrid formats, with strong editing and multi‑project management.
