Overview The Executive Assistant/Office Manager III is responsible for providing full-service executive administrative support to the General Manager and the senior executive management team while providing direct/indirect supervisory and work direction to the executive office administrative team and the property’s departmental administrative staff. The role coordinates all office services, assists with budget preparation, reporting and control.
Responsibilities
Provide administrative support to the General Manager and the senior executive management team: answering phones, routing calls, composing correspondence, mail distribution, document filing, managing daily schedules, and taking notes/minutes.
Coordinate heavy travel arrangements (domestic & international).
Set up and coordinate meetings: room set up of audio‑visual equipment, conference phones, ordering refreshments.
Provide work direction for scheduling, workload, coverage, and day‑to‑day routine of the 10 administrative assistants.
Manage executive office equipment: phones, copiers, smart phones/tablets, PCs.
Coordinate preparation, collection, and management of budget, operating reports, and other statistical records.
Research and analyze data to support General Manager sponsored projects.
Track time and attendance records for the property’s administrative staff.
Plan, organize office layout moves and order office furniture.
Plan executive team outings, activities, and receptions.
Serve as backup to Corporate Executive Assistant Office Manager.
Extend compliments in accordance with the property compensation matrix.
Other duties as assigned.
Skills
Proficient in modern office equipment and software: PCs, Microsoft Office, PowerPoint, Excel.
Analyze and interpret department needs and results.
Recognize, manage and solve complex issues/problems.
Perform duties under frequent time pressures in an interruptive environment.
Maintain mental concentration for extended periods.
Qualifications
5 to 8 years of professional office experience supporting a C‑level executive.
Associate’s degree in secretarial science/office management or equivalent experience.
At least 1 year of supervisory experience.
Ability to work in an alcohol and smoking environment.
Ability to secure and maintain licensure as required by Virginia Gaming Control Board or other applicable regulatory entity.
