The person in this position will be asked to use their personal vehicle for work-related deliveries and errands as needed. Work Schedule Monday – Friday, 8:00 a.m. – 4:30 p.m. May need to work beyond normal work schedule during peak periods including some travel. Additional Position Information Position Summary The Executive Assistant, Advancement, serves as a trusted advisor and strategic partner to the Senior Vice President for Advancement, Vice President for Philanthropy, and Vice President for Engagement. This role is central to ensuring that Advancement at the University of Memphis operates with clarity, efficiency, and accountability. The Executive Assistant manages the daily flow of executive activities—including complex calendar coordination, meeting preparation, and follow-up while also driving projects forward, overseeing critical processes, and ensuring priorities remain on track. The ideal candidate is a proactive problem-solver who anticipates needs, removes obstacles, and fosters seamless communication across the Advancement leadership team. With strong organizational, operational, and interpersonal skills, the Executive Assistant ensures that the Advancement leaders are consistently supported, informed, and positioned for success. This individual thrives in a fast-paced environment, balances multiple priorities, and works with discretion and diplomacy on sensitive matters. Benefits of Employment (Applies to full-time, non-police employees only) Job Duties Duties & Responsibilities Executive Support & Calendar Management Manages and optimizes the complex calendars and schedules for the Senior Vice President, VP for Philanthropy, and VP for Engagement. Coordinates logistics, agendas and presentation materials for meetings, ensuring alignment with strategic priorities. Prepares leaders for meetings through research, briefing documents, and timely information sharing. Serves as the point of contact for scheduling requests and prioritizing competing demands. Drives forward initiatives and ensures timely execution of deliverables. Develops project plans, monitors progress, and provides accountability follow-up to staff and stakeholders. Anticipatory & Proactive Executive Partnership Anticipates the needs of the SVP and VPs, preparing information, solutions, or next steps without requiring detailed instruction. Provides counsel and insight into priorities and opportunities for executive focus. Serves as a confidential advisor on sensitive or complex matters, exercising sound judgment and discretion. Process Oversight & Operational Efficiency Oversees and improves Advancement-wide processes to increase effectiveness and efficiency. Identifies and implements systems to streamline workflows and ensure consistency across units. Develops tools and resources that support project tracking, reporting, and knowledge management. Ensures best practices are documented, communicated, and upheld across the organization. Other duties as assigned.
