McMichael and Gray P.C., a full‑service law firm is currently seeking a Receptionist to join the team. The ideal candidate will be a team player who carries a professional and positive demeanor.
Essential Job Functions
Welcoming clients and visitors upon arrival at reception.
Answering, screening, and forwarding phone calls in a professional manner.
Observing business etiquette and maintaining a professional appearance.
Directing the flow of mail, faxes, and deliveries to reach the intended recipients.
Ordering and replenishing office supplies.
Assisting with copying, scanning, faxing, and emailing whenever needed.
Assisting with printing all files and preparing the folders for closing.
Preparing refreshments, if needed.
Requirements
Must have a professional demeanor.
Must have excellent communication skills.
Must have excellent phone etiquette.
Must have ability to multitask.
Must be punctual and have excellent attendance.
Post Closer
Reviews closing documents to ensure all forms are properly signed, witness and notarized.
Coordinates obtaining applicable corrections with closing attorney.
Scans all lender packages and mails/FedEx all disbursements for files.
Uploads signed package to the lender portals.
Mails checks to all parties for each transaction.
Confirms the cost of recording prior to sending documents to record.
Prepares the transfer P‑61 to send with deeds to record.
Records all required documents via eRecording.
Receives recorded documents and mails them out to buyers and lenders.
Scans all recorded documents and surveys into SoftPro system for final title policy issuance if applicable.
Post final title policies to SoftPro from 3rd‑party title companies.
Mail out final title policies and recorded documents.
Responds to post‑closing emails.
Reviews and responds to title clearance requests.
