Kozak Group is seeking a highly organized, discreet, and proactive Part‑Time Executive Assistant to provide comprehensive support. The primary focus of this role is high‑level administrative management, calendar control, and proactive problem‑solving. A smaller, essential component of the job involves providing safe, punctual transportation using the Executive’s vehicle(s).
Key Responsibilities I. Core Executive Administrative Support (Primary Focus)
Executive Calendar Management: Act as the central gatekeeper for the Executive’s complex professional and personal schedule. This includes proactive scheduling, managing conflicts, coordinating external meeting logistics, and sending preparatory reminders.
Communication & Correspondence: Professionally screen and manage all incoming communications (phone, email, mail). Draft, edit, and finalize high‑priority emails, memos, and reports with impeccable grammar and tone.
Travel Planning: Efficiently coordinate all travel, including booking flights, accommodations, ground transportation, and creating detailed, organized itineraries.
Financial & Documentation: Manage expense reports, process invoices, track budget details, and organize sensitive digital and physical documentation to ensure audit‑readiness.
Project Follow‑Up: Track key project deadlines and proactively follow up on action items delegated by the Executive to ensure nothing is missed.
II. Logistical Support & Driving (Secondary Function)
Punctual Transportation: Provide safe, professional driving services for the Executive to and from appointments, meetings, and the airport within the Southeast Michigan area, using the provided executive vehicle.
Vehicle Oversight: Ensure the Executive’s vehicle is consistently maintained at a professional standard. This includes coordinating fuel, managing necessary cleaning/detailing, and scheduling routine service appointments.
Personal Logistics: Execute necessary professional and personal errands (e.g., banking, document drop‑offs, retrieving materials for meetings) as requested.
Qualifications and Skills
Proven, executive‑level experience (3+ years) demonstrating mastery of administrative organization and executive support functions.
Expert proficiency in using digital scheduling platforms (e.g., Microsoft Outlook or Google Workspace) and core administrative software.
Exceptional Discretion: Absolute professionalism and unwavering commitment to confidentiality regarding all business and personal matters.
Mandatory: Valid Michigan driver’s license and an impeccable driving record.
High adaptability and reliability to manage a variable work schedule and quickly respond to last‑minute scheduling changes.
