Position Overview
The Croton-Harmon Union Free School District has an anticipated opening for a 12‑month Secretary to School Principal position at Croton‑Harmon High School. This is a competitive Civil Service position; the individual must have passed the Civil Service exam for Secretary to School Principal and be reachable and/or currently be in this title.
Distinguishing Features of the Class:
- Under general supervision, the incumbent performs executive secretarial services for a primary, secondary, junior high or high school principal, relieving the principal of administrative details.
- Unlike the “Secretary to School Principal (Stenographer)” the stenographic skill is not required.
- Requires a full range of computer skills to compile and produce correspondence, records, reports, files, etc.
- Frequent use of independent judgment in applying prescribed methods and procedures where policies have already been established.
- Involves considerable contact with the public and/or fellow employees.
- May exercise supervision over lower‑level clerical workers and perform related work as required.
Key Responsibilities
- Performs executive secretarial functions for the school principal.
- Relieves school principals of details that do not require their personal attention by using discretion, tact and thorough knowledge of district/office policies and procedures.
- Uses a variety of automated systems to produce correspondence, reports, contracts, specifications and other materials.
- Utilizes computer applications such as spreadsheets, word processing, calendar, e‑mail and database software.
- Maintains the principal’s calendar, ensuring the principal is apprised of all appointments, changes and matters requiring immediate attention.
- Records minutes of meetings or hearings and prepares them in finalized document format.
- Answers telephone calls, responds to requested information, and refers inquiries to the appropriate party.
- Arranges appointments and meetings, preparing required materials.
- Compiles various data for reports and prepares statements.
- Maintains files for the principal, ensuring proper marking and accessibility.
- Performs clerical work in maintaining complex and confidential records, both manually and electronically.
- Sorts and screens incoming mail and routes routine correspondence to the appropriate party.
- May assign and check the work of other clerical employees.
Qualifications
Required knowledge, skills, abilities and attributes:
- Thorough knowledge of the responsibilities of an executive secretary.
- Thorough knowledge of general business terminology, procedures and equipment.
- Proficiency in business English, spelling and arithmetic.
- Knowledge of computer systems equipment to produce various formats/documents such as correspondence, reports, tables, charts and file storage/retrieval.
- Keyboard proficiency of at least 35 words per minute.
- Ability to use computer applications such as spreadsheets, word processing, calendar, e‑mail and database software.
- Ability to understand and carry out complex oral and written directions.
- Ability to compose and edit routine letters and memoranda.
- Ability to handle administrative details independently and deal effectively with others.
- Ability to read, write, understand and communicate in English sufficiently to perform the essential functions of the position.
- Ability to compile data and prepare reports.
- Ability to develop and maintain good working relationships with others.
- Clerical aptitude, accuracy, resourcefulness, initiative and appropriate physical condition.
Minimum Acceptable Training and Experience
- Graduation from high school or possession of a high school equivalency diploma AND:
- 5 years of secretarial experience supporting a higher level administrator OR a department/ unit head, 3 of which involved the use of computer applications to maintain records and produce correspondence; OR
- Graduation from a post‑high school secretarial or business school with a degree or certificate in secretarial sciences, office technology or closely related field AND 3 years of specialized experience using computer applications as described above.
- At least 1 year of specialized experience using computer applications is required.
- Satisfactory completion of 30 college credits may be substituted on a year‑for‑year basis for up to 4 years of the secretarial experience described above.
Special Requirement for Appointment in School Districts
In accordance with the Safe Schools Against Violence in Education (SAVE) legislation, Chapter 180 of the Laws of 2000, and the regulations of the Commissioner of Education, candidates must obtain clearance for employment from the State Education Department prior to employment based upon a fingerprint and criminal history background check.
