The Program Coordinator/Senior Program Coordinator provides second-level support to students and instructors in Professional and Continuing Education. Responsibilities include student and course support, instructor hiring and onboarding, contract management, course and enrollment management, and program logistics. The role involves quality assurance for online courses, program planning, advising, registration, materials, scheduling, budgeting, and reporting. Strong communication, attention to detail, independence with teamwork, and experience with higher education and student support are required. Proficiency with computer applications, word processing, spreadsheets, data management, and web-based systems is expected. Duties and Responsibilities: Instructor support Coordinate instructor applications, approvals, and hiring documentation; communicate with instructors and references to complete documents. Provide first-level support to instructors. Respond to email and phone inquiries within 24 hours. Manage contracting for returning instructors and ensure signed contracts prior to course offering. Provide instructor training in the student information system and LMS. Monitor instructor participation in courses (on-ground and online). Draft instructor stipend documentation and forms. Engage prospective instructors in advising conversations to increase course offerings and enrollments. Course management Coordinate course approval processes and documentation. Create course profiles in the enrollment system and submit for approval; create sections with instructor assignments, fees, budget, and grading. Coordinate end-of-course evaluations and summarize data; provide feedback. Quality assurance on program websites and update information. Schedule classrooms/venues for programs, monitor expenses, and alert if space or budget cannot be met. Maintain Master Course List (MCL) for program planning. For online programs, monitor course development and stay updated on policies and program promotion. Proactively track program performance and report to the department. Student support Serve as second-level student support; respond to inquiries within 24 hours. Create and update Student Support Timelines and Program Manuals. For online programs: contact students to support retention, monitor progress, and guide through orientation and administrative timelines. Assist with registration procedures, deadlines, materials, and re-entry initiatives as needed. Process coordination and execution Respond to inquiries with courtesy and tact; direct calls when necessary. Follow university policies for student and instructor issues; handle confidential information with discretion. Track expenses, order supplies, and maintain department mailing lists; maintain course and instructor records. Support marketing efforts and provide program updates to the Student Service Center monthly. Attend internal and external meetings and training to maintain competence. Collaborate with Instructional Designers and Technologists on course quality assurance. Participate in department meetings; review enrollment history and retention reports; monitor project timelines and report to the Director. Support positive relationships with instructors and students; manage expectations within USD standards. Meet or exceed retention benchmarks; perform other duties as assigned. Official transcripts required for degree verification. Minimum Qualifications: Bachelor’s degree or equivalent experience (one year of experience = two years of education). Excellent written and verbal communication; ability to multi-task with attention to detail. Proficient with web-based student information and CRM tools; strong computer skills.
