Departmental Accounting Assistant (Remote) - Department of Medicine
Position Summary:
Coordinate purchasing, billing, and collection activities; maintain financial statistics, records, and accruals; assist in grant and budget preparation and payroll processing.
Responsibilities
Monitor and purchase office supplies and laboratory equipment, facilitate price comparisons, and maintain equipment inventory and asset records.
Process the receipt of division purchase orders and approve related documents.
Maintain division funds and accounts, assign account numbers to orders in compliance with grant agency guidelines, using the Financial System, AFMS or similar systems.
Prepare requisitions, check requests, petty cash reimbursements, reconcile monthly ledgers, and monitor open encumbrances.
Process payroll, status changes, and attendance records for academic and non‑academic employees.
Assist in grant and budget preparation.
Provide backup coverage for clinical secretary and Division Administrator when needed.
Working Conditions Normal office environment. Physical effort: typically sitting at a desk or table, repetitive wrist, hand or finger movements (PC typing). Office equipment provided.
Education & Qualifications
High school diploma or equivalent; combination of education and experience may be considered.
Required work experience: 2 years in accounting/ bookkeeping.
Required skills: accounting methods, budget preparation, check requests, financial systems, grant preparation, office equipment, ordering supplies, payroll processing, petty cash management, purchase order processing, reconciliations, spreadsheets.
No specific certification or driver's license required.
Grade & Salary Grade: G06-H. Salary Range: $17.87 - $27.06 per hour.
