Role Description The Supply Chain and Customer Service Coordinator plays a key role in ensuring the smooth flow of animal health products from order to delivery. This role combines customer support, order management, EDI coordination, and office administration, ensuring that both internal operations and customer interactions run efficiently. The ideal candidate will thrive in a fast-paced environment, be detail-oriented, and understand the unique regulatory and logistical nature of the animal health and pharmaceutical industry.
Key Responsibilities
Act as the primary contact for customer inquiries, product availability, and order status updates.
Enter and manage customer orders in the ERP system, ensuring accuracy and compliance with animal health product handling standards.
Coordinate with manufacturing, quality, logistics, and warehouse teams to meet on-time delivery goals.
Maintain knowledge of product lines, SKUs, and regulatory documentation (e.g., Certificates of Analysis, temperature-controlled shipping requirements).
Handle returns, credits, and replacements following company policies and quality guidelines.
Support the end-to-end order fulfillment process — from order receipt to delivery confirmation.
Collaborate with 3PLs, freight carriers, and warehouse teams to manage domestic and international shipments.
Monitor inventory and product availability to minimize backorders and stockouts.
Track and report on KPIs such as order accuracy, fill rate, and on-time delivery performance.
Assist in import/export documentation, especially for regulated animal health products.
Manage EDI workflows (including purchase orders, advance ship notices, and invoices).
Troubleshoot EDI transmission errors in coordination with IT and customer teams.
Ensure compliance with trading partner requirements and maintain accurate EDI documentation.
Partner with commercial and IT teams on new EDI setups or customer onboarding.
Oversee general office operations to maintain a professional and efficient work environment.
Order and manage office supplies, stationery, and refreshments.
Support scheduling of meetings, shipping of samples, and preparation of materials for internal/external stakeholders.
Assist with onboarding logistics for new employees (workspace setup, supplies, access coordination).
Qualifications
Bachelor’s degree in Supply Chain, Business Administration, Logistics, or related field.
1-2 years of experience in customer service, logistics, or supply chain coordination (animal health, pharmaceutical, or life sciences preferred).
Hands‑on experience with EDI systems, familiarity with ERP systems.
Understanding of Good Distribution Practices (GDP) and regulatory requirements in the animal health or pharmaceutical sector.
Excellent organizational and multitasking skills.
Strong written and verbal communication skills; customer‑focused mindset.
Proficient in Microsoft Office Suite (especially Excel and Outlook).
Preferred Skills
Experience working with 3PLs and cold chain logistics providers.
Knowledge of Incoterms, export documentation, and customs clearance.
Ability to analyze data and generate KPI reports.
Experience supporting office operations or administrative functions in a hybrid environment.
