Service Loaner Coordinator
Empire Toyota is looking for a Service Loaner Coordinator to join our service team. We are looking for the right person to provide an exceptional customer experience for each guest. If you have experience working in a fast-paced environment and enjoy solving customer inquiries while delivering an excellent customer experience, then Empire Toyota is the right place for you!
Your Daily Work Schedule
You will clearly communicate our loaner process, policies and procedures of the agreement and their method of payment ensuring the contract is fully completed. You will make sure the client presents their driver's license and insurance card and makes a copy for the dealership. You will inspect returned vehicles and report any damage to guests and dealership management in a timely manner. Working collaboratively with service advisors and other coworkers keeping the customer’s needs always in mind. Reconciles customer bills, receives cash or credit card payments; reviews gas agreement with customer and records amount charged if necessary. Closes all open invoices. You will handle customer concerns, provide appropriate solutions and alternatives within reasonable time limits using dealership’s CRM, phone, text and email. You will develop a trusting relationship with all customers, creating a positive experience. You will assist with moving client cars and loaners when necessary. You will file repair orders, parts invoices, rental forms agreements appropriately, keep all dealership management in the loop.

Fleet Management Expectations
Loaner fleet are cleaned, gassed and properly available. Loaner fleet are inspected weekly for any necessary maintenance. Loaner fleet vehicles are inspected, insured, and properly registered. Loaner fleet are all accounted for, and any problems have been documented with a plan to have them fixed.
Qualities We’re Looking For
You have excellent communication, interpersonal, and organizational skills. Reliable and presentable in business attire, representing Empire in a professional manner. You understand the importance of listening and being empathetic. You have strong work-ethic with the ability to work in a fast-paced, results-driven environment. You have experience providing outstanding customer service by showcasing expertise, fostering trust, and growing customer satisfaction. You have at least one year of prior employment involving customer-facing service or telephone contact. You have friendliness, enthusiasm, reliability, with a positive "team-player" attitude. You are open to constructive feedback to improve your performance and development. Flexible with work scheduling and availability to work weekends and holidays. You have strong computer and multitasking skills, which includes Microsoft Office. You have at least one year prior dealership experience in a customer service position. You will operate a clean, organized, presentable workplace with a strong attention to details.
