The Prepress & Workflow Specialist is responsible for preparing, validating, and automating print and mail production jobs to ensure accuracy, consistency, and efficiency across the production process.

This position combines data management, layout work, and workflow automation to support both digital print and mailing operations. The ideal candidate has a strong eye for layout precision, understands variable data merging, and enjoys problem‑solving in a production environment.

The role may also include occasional light graphic design work, such as creating simple layouts for invitations, postcards, or internal forms. Most design tasks involve modifying or building upon existing templates rather than full creative development.

Responsibilities File & Layout Preparation

Prepare, edit, and format customer files for print, ensuring all artwork meets bleed, margin, and resolution standards.

Create or adjust layouts for letters, envelopes, postcards, and other variable‑data projects.

Merge data files with templates using variable data and document composition tools.

Troubleshoot layout issues related to fonts, alignment, or data placement.

Preflight and proof all print files before release to production.

Data & Workflow Automation

Clean, format, and validate mailing lists using data management and address hygiene tools.

Build, test, and maintain automated workflows for print and mail job processing.

Identify and correct errors related to data merges, address formatting, or automation failures.

Maintain standardized workflow templates for recurring jobs.

Document and organize workflow processes for reference and training.

Production & Team Support

Collaborate with the Project Manager to confirm job specifications, materials, and timelines.

Deliver print‑ready, mail‑approved files to the production team.

Partner with the Production Manager on proofing and quality control checks.

Support internal requests for basic layout or design work as needed (e.g., retail print jobs, invitations, or marketing pieces).

Process Improvement

Recommend automation and layout efficiencies to improve turnaround times.

Identify recurring design or data issues that impact production quality.

Maintain organized archives of templates, layouts, and workflow assets.

Qualifications

Proficiency with page layout and prepress software (design, PDF editing, and variable data tools).

Strong working knowledge of spreadsheets for data formatting and cleanup.

Understanding of print production standards (bleeds, color modes, imposition, resolution).

Attention to detail and a process‑driven mindset.

Ability to manage multiple projects in a fast‑paced production setting.
