Position Overview
The Front Office Coordinator is an ambassador for OrthoRehab Physical Therapy. Welcoming & helpful interactions (both face-to-face and over the phone) with patients, providers, vendors, etc., sets the stage for a positive and cared-for experience with our company. Provides general office support with a variety of clerical activities and related tasks.
Reports to: Clinic Director and Account Manager.
Essential Functions
Promptly and cheerfully greets and welcomes patients, providing them appropriate information.
Checks in patients, ensuring signature is obtained on Visit Log.
Prepares and maintains new records and files.
Notifies PT/PTA of patient arrival.
Answers telephones, screens calls and directs callers to appropriate designation.
Obtains all pertinent patient information and ensures accurate entry into Optimis, keeping it confidential.
Ensures patient information entered into Optimis and visit logs are accurate and thorough.
Schedules and reschedules patients’ appointments over the telephone or in person, canceling when necessary and verifying appointment times with patients.
Obtains patient insurance coverage information, contacts insurance companies to verify eligibility and coverage limits, and provides patient with copay/coinsurance obligations prior to first appointment.
Submits information for insurance authorization and pre‑authorizations accurately and timely, regularly checking authorization time frames and coordinating with therapists for extensions if needed.
Obtains medical records from physicians, hospitals, and other institutions.
Calculates patients’ copays/co‑insurance and handles cashiering services for payments, posts all payments into daily log, and makes weekly deposits.
Tracks faxes, enters them into Fax Log, scans and attaches daily information including doctors’ notes belonging to other clinics.
Updates patients’ information/insurance when needed.
Manages office supplies inventory and orders when needed.
Maintains front office and waiting area clean and orderly; abides by all safety rules and promotes safety within workplace.
Assists with light cleaning, laundry, etc., and may assist in clinic aide duties as specified by Clinic Director.
Works within parameters of hourly, non‑exempt position classification; cooperative and willing to cover other clinics when needed or assigned.
Performs other job duties as assigned.
Skills & Qualifications
High school diploma or equivalent.
One year of work experience, preferably in a medical office setting.
Knowledge of medical terminology and billing desirable.
Proficient in Word Processing, Excel, and computer use.
Strong customer service skills and experience.
Ability to comprehend established routines and policies.
Ability to keep financial records and perform mathematical tasks.
Good organizational skills and multitasking abilities.
Quick learner from oral and written instructions.
Detail oriented.
Dependable.
