The Project Coordinator will work closely with project managers, stakeholders, and cross-functional teams to ensure projects are completed on time, within scope, and on budget. Responsibilities
Assist in planning, scheduling, and executing project tasks to ensure timely delivery.
Prepare and maintain project schedules, timelines, and milestone charts.
Coordinate project activities, including scheduling meetings, managing documentation, and ensuring resource availability.
Serve as the main point of contact for project inquiries and communication.
Facilitate communication between stakeholders, including clients, vendors, and internal teams.
Organize and participate in project meetings, documenting and following up on action items.
Maintain accurate project documentation, including plans, budgets, and meeting minutes.
Prepare and distribute project status reports to key stakeholders.
Monitor project budgets, expenses, and resources, ensuring alignment with goals.
Coordinate scheduling of team members and resources.
Help resolve conflicts or scheduling issues to keep projects on track.
Assist in procurement of materials and resources.
Identify and develop mitigation strategies for potential risks or delays.
Track and escalate issues as needed for resolution.
Monitor and report on project progress and ensure compliance with policies and standards.
Support quality assurance by tracking deliverables and specifications.
Assist with client communications to manage expectations and satisfaction.
Support project managers in preparing presentations, proposals, and reports.
Identify opportunities for process improvements.
Other duties as assigned.
Requirements
Bachelor’s degree in Business Administration, Project Management, or related field preferred.
1-3 years of experience in project coordination or administration, preferably in construction, IT, or engineering industries.
Strong organizational and multitasking skills.
Excellent communication skills, written and verbal.
Proficiency in Microsoft Office Suite and project management tools (MS Project, Asana, Trello, Jira).
Ability to work independently and in teams.
Detail-oriented with good priority management.
Problem-solving skills and proactive attitude.
Ability to handle sensitive information confidentially.
Adaptability to changing requirements and fast-paced environments.
Preferred Qualifications
PMP or similar certification.
Familiarity with Agile or Scrum methodologies.
Basic knowledge of budgeting and financial tracking.
Physical Requirements
Remaining stationary for 50% of the time.
Operating a computer and office machinery.
Occasionally lifting objects up to 25 lbs.
