The Administrative Assistant will work with members supporting the GIC Afloat contract in ensuring compliance with DoD and Intelligence Community Security Directives. This is a full-time position based out of the M.C. Dean Chesapeake, Virginia office. There is potential for the position to evolve and have some degree of workplace flexibility. Daily duties and responsibilities will include: Initiating, reviewing, and processing Personnel Security Clearances and Periodic Reinvestigations for the DoD DISS administrative functions - submit visit authorization, incident reports, in-process, indoctrinate, debrief, out-process employees, submit CSR's, and generate reports Submit access requests for surface ships in the United States and abroad Submit access requests for private shipyards in the United States Process Common Access Card (CAC), DBIDS, and other badge requests Communicate status updates to Project Leaders and other organization members Perform security briefings/debriefings (SF 312, NATO, new employees, and employee terminations) Manage document control database (SIMS) for classified material, ensuring proper handling according to NISPOM and contractual requirements Assist employees with travel forms and training for abroad travel Submit foreign travel clearance requests via APACS and SPOT Perform other duties as assigned, including Change Order Notification (CORN) submissions Position / Candidate Requirements
Must be eligible for a secret clearance High School diploma or GED plus at least one year of relevant experience Discretion, judgment, problem-solving skills, and ability to work in a multidisciplinary team Ability to work with urgency, integrity, and professionalism Flexibility to adapt to changes Strong communication, organization, and time management skills Experience with MS Excel, Word, and PowerPoint is a plus Work and travel requirements include working in Chesapeake, VA, and potential travel to Northern Virginia or San Diego, CA Abilities
Ability to work with extended screen time and sitting Manual dexterity for tasks like keyboard use Effective listening, speaking, reading, and problem-solving skills Employment Details
