Inventory Specialist Full‑time position responsible for maintaining accurate records of the institution’s capital assets, ensuring compliance with accounting standards, institutional policies, and external funding requirements. The role tracks, reconciles, and reports on fixed assets such as equipment and other college property while working closely with finance, facilities, and purchasing to safeguard resources.
Essential Duties and Responsibilities
Oversee tagging, tracking, and disposal of assets and maintain the fixed asset register across all campuses.
Support external and internal audits by providing documentation and reports.
Complete monthly reconciliation of assets against the general ledger, ensuring accuracy, completeness, and compliance.
Partner with facilities and external moving vendors to plan and manage college‑wide moves.
Reallocate excess college assets throughout the community and determine when assets qualify as surplus property available for sale.
Advise departments on inventory procedures and asset disposal.
Provide backup support for warehouse receiving and shipping operations.
Minimum Qualifications
Associate’s degree in supply chain, logistics, or business.
2–3 years of professional experience in accounting, finance, or inventory/asset management.
Proficiency in Microsoft Excel and other office productivity tools.
Ability to reconcile accounts and prepare accurate asset reports.
Preferred Qualifications
Ability to operate warehouse equipment including forklift and pallet jacks.
Proficiency in using ERP integrated Asset/Purchasing/General Ledger system (Colleague, Anthology, or similar).
Bachelor’s degree in business and 1 year of relevant experience.
