Inventory Specialist

Position Overview The Inventory Specialist is a full‑time role responsible for maintaining accurate records of the institution’s capital assets, ensuring compliance with accounting standards, institutional policies, and external funding requirements. The specialist tracks, reconciles, and reports on fixed assets such as equipment and other college property, working closely with finance, facilities, and purchasing to safeguard resources and guarantee accountability.
Position requires a state driver’s license to operate company vehicles.
Essential Duties and Responsibilities
Oversee the tagging, tracking, and disposal of assets and maintain the fixed asset register across all campuses.
Support external and internal audits by providing documentation and reports.
Complete monthly reconcilation of assets against the general ledger, ensuring accuracy, completeness, and compliance.
Partner with the facilities department and external moving vendors to plan and manage college‑wide moves.
Reallocate excess college assets throughout the community and determine when assets qualify as surplus property for sale.
Advise departments on inventory procedures and asset disposal.
Provide backup support for warehouse receiving and shipping operations.
Minimum Qualifications
Associate’s degree in supply chain, logistics, business, or related field.
2–3 years of professional experience in accounting, finance, or inventory/asset management.
Proficiency in Microsoft Excel and other office productivity tools.
Ability to reconcile accounts and prepare accurate asset reports.
Preferred Qualifications
Experience operating warehouse equipment, including forklifts and pallet jacks.
Proficiency in using an ERP‑integrated asset/purchasing/general ledger system (e.g., Colleague, Anthology, or similar).
Bachelor’s degree in business and at least 1 year of relevant experience.
