Position Overview The FrontOffice Coordinator is the heartbeat of our day‑to‑day operations. This role is responsible for maintaining the cleanliness, readiness, and organization of our shared and private workspaces, greeting and assisting members and guests, managing calendars and bookings, and supporting general operational needs.

This is a full‑time position, 40 hours per week, and we will allow schedule flexibility on an as‑needed basis. The role is ideal for someone proactive, enjoys a variety of tasks, and is looking to grow within a dynamic environment.
Key Responsibilities Administrative Tasks & Calendar Management
Ensure office opening and office closing tasks are completed daily.
Manage the booking calendar and confirm that scheduled events, meetings, and tours are properly coordinated.
Ensure all meeting rooms are prepped, reset, and stocked between bookings.
Use coworking software (e.g., OfficeRnD) for member check‑ins, billing support, daily mail and package sorting, and room reservations.
Respond to inquiries via email, phone, and in‑person with prompt and professional follow‑through.
Coordinate with vendors (cleaning crew, maintenance, deliveries) to maintain day‑to‑day functionality.
Member Experience & Support
Serve as the first point of contact for guests and members – greeting warmly, answering questions, and assisting with check‑ins.
Facilitate tours for prospective members and support new member onboarding.
Troubleshoot basic office tech needs, such as printers, Wi‑Fi, and member platform access.
Support planning and execution of events, workshops, and community meetups.
Promote upcoming events and engagement opportunities within the community.
Facility & Operations
Monitor and maintain the overall cleanliness and organization of the coworking and meeting spaces.
Track supply inventory and coordinate restocking of snacks, office materials, etc.
Ensure coffee station, kitchen, and office supplies are restocked, organized, and cleaned as needed.
Ensure excess trash and recycling are taken out, and the dishwasher is started as needed.
Receive and manage deliveries, including lifting boxes and packages up to 50 lbs.
On the rare occasion, assist in unloading pallets from delivery trucks using a pallet jack.
Support any special projects or facility needs as requested by management.
Qualifications
Prior experience in office management, coworking, hospitality, or administrative support.
Strong organizational skills and attention to detail.
Tech‑savvy: comfortable with email, calendars, coworking or membership platforms, and basic troubleshooting.
Friendly, welcoming, and solution‑oriented personality.
Self‑starter who can manage daily tasks independently and take initiative.
Strong verbal and written communication skills.
Ability to multitask and pivot when needed in a dynamic, member‑facing environment.
Must have reliable transportation to and from work.
Schedule & Compensation
Schedule:
Monday–Friday | 8:00 AM – 5:00 PM. Full‑Time (40 hours/week)
Pay:
$18–$21 per hour. Based on experience
Benefits:
