Overview

We are seeking a highly organized and proactive Office Assistant. This role is integral to ensuring smooth operations across procurement, accounting support, and general office administration. The ideal candidate will be detail-oriented, skilled at vendor communication, and comfortable juggling multiple responsibilities in a dynamic, collaborative environment between our two companies, Apartments Etc. and Donut Day Designs. This is a full-time hybrid position (remote and in a co-working environment). Hours are generally 8–5 with some flexibility, and the compensation range is $30,000 – $40,000 annually, with performance-based bonus opportunities. Key Responsibilities

Part 1: Purchasing & Order Management

Identify and evaluate suppliers based on quality, price, and reliability. Prepare and process purchase orders to ensure accuracy and timeliness. Request quotes for larger orders and negotiate pricing when possible. Monitor and manage inventory for hard goods, apparel, and DTF supplies. Track orders with vendors and resolve discrepancies or delays. Maintain accurate procurement records and ensure compliance with company policies. Utilize QuickBooks, Printavo, and ESP+ to manage purchasing data. Part 2: Accounting & Accounts Receivable

Generate and send invoices to clients. Support account setups as needed. Assist with collections, following up on outstanding invoices. Provide accurate records for management review and month-end processes. Part 3: Administrative Support

Assist with internal invoicing and quote approvals between Apartments Etc and Donut Day Designs. Help build custom proposals and provide basic administrative support (emails, phone calls, scheduling). Prepare analytics reports. Manage customer setups and maintain digital files (Google Drive, photos, etc.). Assist in system creation (spreadsheets, forms, data tracking). Support general office tasks to ensure efficient day-to-day operations. Required Skills & Qualifications

Experience in purchasing, order management, or office support preferred. Proficiency with multiple operating systems. Strong organizational and multitasking abilities. Excellent communication and interpersonal skills for supplier and client interactions. Analytical skills to evaluate pricing, supplier performance, and market trends. Comfort with data management, reporting, and basic bookkeeping. Proficiency in Microsoft Office Suite and Google Workspace. Self-motivated and detail-oriented with the ability to work independently and collaboratively.
