Job Description
Eccalon is seeking an Executive Administrative Assistant to provide executive-level administrative and operational support to senior leadership within the Office of the Under Secretary of Defense for Acquisition and Sustainment (OUSD A&S). Operating in a dynamic and mission-critical environment, this role ensures the seamless execution of daily executive functions and serves as a key facilitator in the coordination of high-level defense acquisition and sustainment activities.
This position requires an Active Top Secret/SCI Security clearance .
Responsibilities
Provide direct executive-level support to SES and General/Flag Officer leadership within OUSD A&S.
Manage complex calendars, schedule meetings, coordinate senior-level engagements, and deconflict priorities.
Prepare, proofread, and finalize high-visibility correspondence, memoranda, reports, and presentation materials.
Monitor and track executive taskers, briefing deadlines, and responses to OSD-level inquiries using task management systems (e.g., CATMS).
Coordinate classified and unclassified meetings, including room reservations, visitor access, and audio-visual needs.
Manage executive travel logistics, including DTS travel authorizations, itineraries, and vouchers.
Serve as a liaison between senior leadership and internal/external stakeholders across the DoD, interagency, and industry.
Exercise discretion in handling sensitive and classified information in accordance with DoD regulations and security protocols.
Required Qualifications
Clearance: Active TS/SCI
Minimum of five (5) years of experience to include executive level support, personnel, scheduling, task management, planning, programming, and forecasting, correspondence, security, facilities with Department of Defense (preferably).
Executive level support experience, experience within DoD and other federal agencies.
Demonstrated success managing several direct reports and multiple functional areas across multiple locations.
Must be highly proficient in using Microsoft Office Suite to include Word, Excel, and PowerPoint.
Must have excellent analytical and problem-solving skills.
Must have outstanding English writing skills and the ability to quickly deliver quality written products in constrained time periods.
Must have strong active listening skills to assess customer needs and satisfaction.
Must have experience in managing customer expectations and working directly with customers.
Must have outstanding customer service abilities to initiative, judgement, creativity, flexibility, and confidence.
Must have the ability to multi-task across multiple projects.
