Overview The Executive Administrative Assistant provides high-level administrative support to the Chief Executive Officer of a psychiatric hospital. This role requires exceptional organizational skills, discretion, and professionalism in handling sensitive information related to patient care, hospital operations, and strategic initiatives. The assistant serves as a key liaison between the CEO and internal/external stakeholders, ensuring smooth communication and efficient workflow.
Responsibilities
Executive Support: Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents.
Attend meetings, take minutes, and follow up on action items as needed.
Handle confidential and time-sensitive information with discretion.
Communication & Liaison: Serve as the primary point of contact between the CEO, board members, external partners, and regulatory agencies.
Draft and manage communications on behalf of the CEO.
Coordinate and support executive-level meetings, including board and leadership team sessions.
Project Coordination: Assist in tracking strategic initiatives and special projects led by the CEO.
Support data collection, analysis, and reporting for hospital performance metrics.
Collaborate with departments to ensure timely execution of CEO directives.
Ability to understand and use new technologies including AI and assist with preparation of presentations.
Administrative Operations: Maintain organized filing systems (digital and physical).
Process expense reports, invoices, and other administrative documents.
Ensure compliance with hospital policies and healthcare regulations.
Qualifications
Bachelor’s degree in Business Administration, Healthcare Administration, or related field or 5 years of experience supporting C-level executives.
Familiarity with HIPAA regulations and healthcare compliance standards.
Proven experience as an executive assistant or in a similar administrative role, preferably in healthcare or behavioral health.
Strong understanding of hospital operations and mental health services is a plus.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and scheduling software.
Ability to manage multiple priorities in a fast-paced environment.
High level of professionalism, confidentiality, and emotional intelligence.
