Purpose
The Business Assistant (BA) plays a vital role in ensuring the dental office runs efficiently, smoothly, and profitably. They are the face and voice of the practice—bridging patient experience, financial accuracy, and team coordination.
Core Responsibilities
Patient Experience & Front Office Management • Greet patients warmly and create a welcoming, professional environment.
• Schedule and confirm appointments to maximize provider productivity.
• Manage patient check-ins, check-outs, and daily flow with efficiency.
• Ensure all necessary forms, consents, and documentation are completed accurately.
Financial Coordination • Present treatment plans and discuss financial options confidently.
• Accurately verify insurance benefits, submit claims, and follow up on unpaid balances.
• Collect copayments, pre-payments, and outstanding balances in alignment with office goals.
• Support the office’s production and collection goals by tracking and reporting daily progress.
Communication & Collaboration • Partner closely with the Practice Manager of Operations (PMO) and clinical team to ensure optimal workflow.
• Maintain strong communication between front and back staff to prevent scheduling gaps or bottlenecks.
• Contribute to team meetings, goal‑setting sessions, and culture initiatives.
Administrative Duties • Manage daily reports, patient records, and Dentrix documentation.
• Handle correspondence, mail, and office inventory.
• Support HR and compliance functions under PMO guidance.
