Job Title: Assistant Registrar Reporting Structure: Registrar Division: Academic Affairs As a member of the leadership team, the Assistant Registrar collaborates with the University Registrar to oversee the operations and functions of the Registrar’s Office. This includes the administration of all facets of managing student records and other Registrar's Office functions, with primary responsibility for daily office management, NCAA compliance, transcript evaluations, schedule building, readmission, National Student Clearinghouse compliance and curriculum/catalog maintenance. Bethune Cookman University Responsibilities
Daily Office Management: oversee key operational areas in collaboration with the University Registrar; support FERPA training and policy adherence; respond to inquiries; assist in processing registrations, add/drop, withdrawals; manage transcripts via third-party applications and in-house systems; provide back-up at the front desk. NCAA Compliance: obtain, evaluate, and document credentials; certify degree progress; review athletic eligibility; provide official certification to Conference Offices; maintain compliance records; support NCAA Compliance Assistant software; interpret and communicate policies; complete required NCAA rule education. Transcript Evaluations: work with faculty and administrators to evaluate external transcripts, assess transfer credits and graduation requirements, perform data entry of transcripts, and advise transfer applicants. Scheduling Building: lead semester schedule processes; train staff; ensure accurate SIS data entry; manage scheduling tasks and audit for accuracy; serve as primary scheduling resource for the university. Readmission: coordinate and administer the readmission process with staff. NSC Compliance/Enrollment Reporting: manage NSC reporting, submit data to NSC/NSLDS, prepare monthly reports, reconcile with related functions, and collaborate with relevant systems to minimize risk. Curriculum/Catalog Maintenance: create/edit courses in the SIS Catalog; update catalog information and prerequisites; manage catalog updates and dissemination; assist Registrar with catalog changes and website updates. Additional Duties: ensure privacy compliance under FERPA and accreditation standards; maintain student files; respond to subpoenas; resolve duplicate records; assist with commencement planning; train and manage projects; benchmark with peer institutions; participate in meetings and committees; develop procedures and tasks documentation. Shared Responsibilities: perform day-to-day academic record maintenance; deliver high-quality customer service; represent the Registrar’s Office; cross-train; participate in professional development; support commencement activities; stay adaptable to policy changes; perform other duties as required. Analytical and critical thinking skills; ability to analyze systems and processes and propose solutions. Problem-solving, adaptability, and the ability to manage ambiguity. Experience coordinating workflows, training staff, and maintaining quality control. Excellent organizational and time-management skills; ability to manage multiple projects in a fast-paced environment. Attention to detail; self-motivated and able to work independently or as part of a team. Ability to comprehend and adhere to university, academic, NCAA, SWAC, and registrar policies and rules. Bachelor's degree required; Master’s degree preferred. Minimum one year of Registrar’s Office experience and two years in higher education. Minimum two years of NCAA athletics compliance experience with knowledge of NCAA rules. Minimum three years of customer service experience. Knowledge of transfer evaluation and schedule building requirements. Experience with integrated data systems (e.g., Jenzabar One) and database management; experience with athletic compliance software and document imaging/retention systems. Familiarity with SACSCOC, AACRAO, SACRAO, FACRAO, and NCAA guidelines. Strong interpersonal and communication skills; ability to present information publicly. Physical Requirements
This is a 100% on-campus position. Work is performed in a standard office environment. Requires long hours during peak periods with some evening and weekend availability. May require standing, walking, sitting, bending, reaching, and occasional lifting up to 10 pounds.
