POSITION: Front Desk Coordinator
DEPARTMENT: Front Desk
REPORTS TO: Practice Manager
JOB SUMMARY The Front Desk Coordinator is the first point of contact for patients, playing a critical role in creating a positive and welcoming experience. This position is responsible for managing day‑to‑day front desk operations, including scheduling appointments, handling patient check‑in/check‑out, answering phones, and addressing patient inquiries and concerns. This role requires excellent customer service skills, strong attention to detail, and the ability to work well in a fast‑paced environment.
KEY RESPONSIBILITIES
Manage the front desk area, ensuring a clean, organized, and welcoming environment for patients
Schedule, reschedule, and cancel appointments as necessary
Greet patients upon arrival, check them in for their appointments, and manage the
Handle patient check‑out process, including scheduling follow‑up appointments and processing payments
Answer and direct phone calls, take messages, and respond to patient inquiries
Provide patients with information on services, treatments, packages, and retail products
Promote the spa, services, packages, and retail products to patients
Maintain accurate and up‑to‑date patient records
Manage inventory of front desk supplies and notify management when restocking is needed
Assist patients with retail purchases as needed
Support other areas of the spa operation as requested by management
Maintain confidentiality in all patient matters
Participate in training and staff meetings as required
REQUIREMENTS
1‑2 years of experience in a front desk or customer service role
Excellent communication and customer service skills
Ability to work well in a fast‑paced environment
Strong attention to detail and organizational skills
Proficiency with spa booking software
Ability to maintain confidentiality
High school diploma or equivalent required
PREFERRED QUALIFICATIONS
Experience in a medical spa or healthcare setting
Knowledge of cosmetic services and products
WORKING CONDITIONS
Fast‑paced office environment
May be required to sit or stand for extended periods
May be required to lift up to 25 lbs
Must multitask and prioritize duties effectively
LOCATIONS
Cranberry, PA: 213 Executive Drive Suite 340, Cranberry Township, PA 16066 (Primary location)
McMurray, PA: 4055 Washington Road, McMurray, PA 15317 (Secondary location)
Candidate will be required to work at either location as needed.
HOURS/DAYS 9 AM‑7 PM, Monday‑Friday; 10 AM‑4 PM on Saturdays.
Job Type: Full‑time
Pay: $25-30 per hour
Expected hours: 32 – 40 per week
Paid time off
Schedule: Staggered day shift
EXPERIENCE Customer service: 1 year (Preferred)
