The Back Office Medical Assistant plays a vital role in supporting clinical operations by assisting providers with patient care, performing clinical procedures, and maintaining accurate medical records. This position ensures smooth patient flow, adheres to compliance standards, and contributes to a positive patient experience.
What You’ll Do
Delivers quality customer service and maintains established quality control standards
Escorts patients to exam rooms according to company standards
Coordinates patient care as directed by physicians, company standards and policies
Prepare patients for exams and procedures, including taking medical histories and explaining procedures
Perform and record patient visit intake
Assist during dermatological procedures like biopsies, excisions, phototherapy, and cosmetic treatments
Assist in basic lab tests, including skin scrapings or swabs for analysis
Apply topical medications or dressings under the direction of a dermatologist
Photograph skin conditions for documentation and before/after comparisons
Record patient care documentation in the medical record accurately and in a timely manner
Perform other various patient care activities to assist providers
Respect patient confidentiality at all times
Organize exam and treatment rooms, stock and clean rooms, and sterilize instruments
Ensure prescriptions are sent at the time of the patient visit
Sterilize instruments and maintain exam room cleanliness in compliance with health and safety regulations
Patient Education & Support
Educate patients on skin care routines, including post-procedure care and sunscreen use
Explain treatment plans and follow-up instructions to help patients understand their care journey
Provide emotional support for patients dealing with chronic skin conditions or cancer
Administrative Responsibilities
Greet and check in patients, verifying their information
Schedule appointments and manage calendars for follow-ups and procedures
Answer phones, messages, and handle inquiries including medication refills and basic questions
Make outbound calls as necessary
Manage pharmacy, billing and insurance paperwork, including processing payments and contacting insurers as necessary
Order and maintain medical supplies to ensure inventory is stocked and organized
What We’re Looking For Required Skills / Abilities
Strong clinical skills and attention to detail
Excellent communication and interpersonal abilities
Proficiency in HER systems and Microsoft Office Suite
Knowledge of medical terminology and clinical procedures
Ability to multitask and work in a fast-paced environment
Education & Experience
High school diploma or equivalent required
Completion of an accredited Medical Assistant program is a plus
Certification (CMA, RMA, or equivalent) preferred
1–2 years of clinical experience in a medical office preferred
