Physician Office Specialist – OhioHealth Position starts at $16.63 per hour

Provides receptionist/clerical support assuring patient flow, comfort and satisfaction. Primary responsibilities include answering phones using a computerized system, directing calls appropriately, scheduling patient appointments in the electronic medical record (EMR) system, entering patient data, verifying insurance, and providing support to staff as assigned. The Office Specialist is organized, motivated, customer‑service oriented, communicates well, and has strong computer skills.

Responsibilities And Duties 70% – Receptionist Responsibilities

Greets patients at arrival, initiates appropriate paperwork, completes patient registration, verifies insurance, collects copays, establishes payment plans, and ensures accuracy in information systems and billing systems.

Performs electronic and manual insurance verification, processes insurance paperwork, obtains pre‑authorization when necessary, and coordinates with physicians and third parties for required documents.

Updates patient charts electronically or on paper, obtains signatures, files paperwork, and notifies clinical associates of patient arrival.

Answers multi‑line phone system, screens calls for office associates, directs calls appropriately, and maintains phone coverage using a computerized system.

Provides general office and clerical support as assigned (faxing, completing disability, FMLA, attorney request, patient record release, Industrial paperwork, etc.).

Manages industrial claims in the EMR, attaching dictation, adding diagnosis allowances, and authorization numbers.

Assists in keeping patient charts organized and filing, including scanning and digitizing into EMR.

Attends staff meetings and in‑house education seminars as needed.

30% – Organizational/Office Responsibilities

Sorts, distributes, and mails transcription as assigned.

Orders and stocks office supplies.

Maintains cleanliness and proper upkeep of office equipment.

Provides support to staff members as assigned.

Minimum Qualifications

High School diploma or GED (Required).

1–2 years of secretarial experience in health care or medical office, or equivalent combination of education and experience.

Post‑high school education emphasizing secretarial, business, or computer skills.

Proficiency with Microsoft Office (Word, Excel, PowerPoint).

Excellent communication, organizational, and customer‑service skills.

Typing speed of 55–60 words per minute.
