Overview
Executive Administrative Assistant role at Orchard Place. The Executive Assistant provides high-level administrative support to the CEO, CFO, and Chief Program Officer (CPO). This role manages complex calendars, coordinates meetings and communications, prepares executive-level documents, and serves as a liaison across internal and external stakeholders. It also supports internal culture-building initiatives and programs aligned with trauma-informed care, inclusion, and employee well-being. The Executive Assistant reports directly to the CEO.
The base pay range is $21.00/hr. This range is posted by Orchard Place; the actual pay will be based on skills and experience. Pay for this position is posted at $21.00 per hour. The role typically follows a Monday–Friday schedule from 8:00 a.m. to 5:00 p.m.

Responsibilities
Executive Administrative Support: provide day-to-day support to the CEO, CFO, and CPO, including calendar management, meeting coordination, travel planning, and document preparation.
Prepare and edit correspondence, reports, presentations, and other professional documents for internal and external audiences.
Coordinate scheduling and logistics for executive meetings, board meetings, committee sessions, and leadership retreats.
Communication & Stakeholder Liaison: represent the executive office professionally with board members, funders, community partners, and internal staff.
Manage sensitive and confidential information with integrity and discretion.
Facilitate internal communications and follow up on action items to ensure timely responses.
Coordinate inter-office mail runs and ensure timely distribution of documents and packages.
Maintain a clean, organized general office environment and coordinate routine upkeep.
Manage ordering, inventory, and restocking of office supplies.
Board & Leadership Team Coordination: assist with Board of Directors packets, minutes, and communications; coordinate Senior Leadership Team agendas and materials.
Project & Culture Program Coordination: coordinate internal culture-building initiatives, employee recognition, engagement surveys, DEI activities, and wellness programming; track progress on trauma-informed practices and Sanctuary Model alignment; assist in planning internal events and milestones.
Process Improvement & Administrative Operations: review and refine administrative systems to increase efficiency; assist in developing SOPs for executive support and internal communications.
Cross-Functional Collaboration: build positive relationships across departments and assist with special projects as assigned by executives.
Other Duties as Assigned: perform additional tasks as determined by the CEO or designee.
Qualifications & Requirements
Associate's or bachelor's degree preferred.
Proven experience providing executive-level administrative support in a fast-paced, mission-driven or client-facing environment.
Ability to build trusted relationships with internal leaders, staff, board members, and external partners.
Strong organizational skills with a proven track record of managing complex calendars, meetings, communications, and follow-ups with attention to detail and timeliness.
Experience coordinating culture-building activities, staff events, or engagement programs is highly valued.
Ability to anticipate needs, take initiative, and follow through on projects with minimal supervision.
Excellent interpersonal and communication skills with discretion, diplomacy, and professionalism in sensitive situations.
Proficient in Microsoft Office Suite and comfortable learning new technologies and systems.
Valid driver's license and driving record meeting agency guidelines.
Criminal history checks, abuse registry and motor vehicle record checks completed.
