Overview
The
Business Operations Assistant / Associate
will serve as an important foundation of our culture and work environment by supporting various business functions including the office of the CEO, facilities, finance, IT and human resources. This individual will report into the CEO and will also provide administrative support to the Leadership Team and Company overall. The Business Operations Assistant / Associate will also support the day-to-day operations of the office including greeting visitors and ensuring the office environment runs smoothly, is safe and reflects the Psivant culture.
Responsibilities
Executive Team Support (50%)
Support the CEO and Executive Team in meeting management, travel planning and expense reimbursement
Coordinate schedules and logistics for leadership events including for the Board of Directors, investors, scientific advisors, partnership meetings and company-wide team events
General Office and Lab Operations Coordination (50%)
Serving as first point of positive and professional contact for our employees and guests and ensuring a welcoming environment upon entry
Answer Psivant main phone and address incoming on site inquiries appropriately
Timely receipt and distribution of mail & packages, assist with outgoing shipping needs
General meeting and event support which may include movement of furniture and ensuring all conference rooms are adequately supplied
Inventory and ordering of kitchen and office supplies, equipment, furniture, etc. in accordance with company purchasing policies and budgetary restrictions
Ensure general maintenance & cleanliness of all common areas including reception, kitchen/café, conference rooms, wellness room and other, printer, storage areas
Manage and maintain professional, effective relationships with office vendors and ensure timely and quality completion of services and invoicing
Serve as a contact with building management company regarding repair tickets, HVAC, construction notices, fire drills/evacuation procedures, etc
Coordinate maintenance/servicing of office and kitchen equipment as needed
Manage catering and food supply vendors to ensure timely delivery for meetings, events and supply of daily snacks
As needed, manage contracts, procurement process, contracts and payments for specific vendors
HR, Recruiting and Onboarding Support (As needed)
Schedule interviews and travel and reimbursements for candidates, support onboarding and offboarding operations for all business operations needs
Qualifications
Bachelors degree preferred
Minimum 3 years with relevant office, administrative or customer-focused experience; early-stage biotech experience a plus
Must have strong proficiency with Office 365 applications including Outlook, Excel, Word and PowerPoint
Strong interpersonal skills including both written and oral communications
Ability to anticipate problems and take proactive measures to plan and mitigate for them
Detail oriented with strong organizational skills
Ability to juggle multiple priorities and adapt to changing needs
Must be able to lift up to 15-20 pounds
