Overview

Administrative Events Manager (HEA) - Office of the Dean at The City University of New York (CUNY SoM). This role reports to the Chief of Staff and is responsible for planning and coordinating a range of events, including commencements, galas, fundraising events, and educational or celebratory events. The Events Manager works with the Communications, Marketing, and Public Relations team to support brand awareness at events. Responsibilities

Manage scheduling, logistical planning, and implementation of School events (annual gala, academic ceremonies, student engagement activities, summer educational programs, and other College events) under the supervision of the Dean. Develop and maintain the annual event calendar and the School’s Master Events Calendar; coordinate event registration processes (RSVPs, guest lists, invitations, and communications). Provide on-site leadership during events (setup, guest assistance, troubleshooting, breakdown); manage volunteers, student workers, and event staff; establish an event management structure for day, evening, and weekend events. Lead post-event activities including debriefing, feedback collection, and reporting; develop administrative systems to support space reservation, event coordination, management, and marketing. Serve as the chief liaison between college departments (academic, facilities, IT, student affairs, alumni, general counsel, marketing, admissions) and campus partners to ensure event objectives, site selection, contracts, and logistics. Develop event concepts, schedules, budgets, and checklists; lead strategic meetings with campus service providers and establish operational policies and procedures. Consult with budget and procurement on billing, invoicing, and collection for event rentals and services. Collaborate with external vendors to coordinate cost estimates, floor plans, catering, audiovisuals, equipment, decor, transportation, and lodging. Oversee facility rental processes, insurance requirements, revenue contracts, and permits in compliance with college policies and safety protocols. Perform other duties as assigned by the Dean, Chief of Staff, or designee. Qualifications

Bachelor's Degree and six years of relevant experience required. Preferred Qualifications

At least 4 years of progressively responsible experience in event management in higher education, preferably at a medical or health sciences institution. Experience with negotiations, contract execution, and management of external partnerships is a plus. Familiarity with the culture and mission of small, public colleges. Experience working with diverse communities and in inclusive event planning. Excellent written and verbal communication skills in English with strong grammar and language skills. Strong organizational, communication, and interpersonal skills; ability to manage multiple projects, prioritize tasks, and work under pressure. Professional and confidential approach; strong judgment, analytical, creative, and problem-solving abilities. Self-motivated, proactive, and able to work independently and collaboratively in a fast-paced environment. Proficiency with Microsoft Office, Google Workspace, and event management tools (e.g., Eventbrite, Asana, Canva). Graphic design and social media marketing experience is a plus. Ability to work weekend and evening hours as necessary. CUNY Title Overview

Oversees planning and coordination of events to meet campus or university goals. Manages ongoing event calendars and facility scheduling; collaborates with campus units and outside organizations to develop concepts and detailed programs. Prepares and manages budgets, contracts, and vendor arrangements; manages guest lists and invitations; coordinates marketing efforts. Develops expertise in technology and media support; coordinates equipment and staff training. Prepares event briefing documents for executives and media relations; may supervise staff for large events. Reports on event success, including financial outcomes; performs related duties as assigned. Compensation and Benefits
