The Property Manager has responsibility for the on-site day-to-day activities on a large single property or multiple properties (depending on size, location, and type). This includes maintaining property appearance and condition, tenant relations, creating and maintaining property financials, leasing support, collections, and managing tenant improvement and/or capital activities. Responsibilities
Accounts Receivables: understand the status of receivables, resolve tenant collection issues, review and approve late fees per lease terms, send default notices, pursue legal actions to collect delinquent balances when necessary, and complete quarterly bad debt reporting. Accounts Payables: review and approve invoices (including building credit card statements, expense reports, and TI/Capital invoices), ensure supporting documentation, oversee tax-related considerations, and approve tenant refunds per policies and procedures. Property Financials: support monthly close, ensure unpaid invoices are accrued, reclassify incorrectly coded expenses, maintain annual estimates and escalations, complete monthly variance and capital reporting, annual capital plans and operating budgets, and reforecasts; stay informed on market conditions and rental rates. Lease Administration: understand lease terms and obligations, monitor and communicate changes (move-in dates, vacate dates, month-to-month leases), ensure letters of credit and tenant deposits are maintained, and review tenant lease profiles per policies and procedures. Building Maintenance, Construction, and Security: maintain property appearance and condition by hiring vendors, monitor maintenance and capital projects, oversee preventive maintenance with engineers, utilize building energy management systems, supervise janitorial work orders, conduct quarterly inspections, pursue energy savings and green initiatives, ensure a sound Security and Emergency Preparedness plan, and review insurance incident reporting forms. Tenant Relations: own the customer relationship, implement a tenant visitation program, maintain relations and ensure timely resolution of requests, review surveys and implement action plans, assist Asset Management with leasing activities, and monitor move-in/move-out procedures. Employee Management: supervise property management support staff, collaborate with leadership to hire, train, discipline, and build team capability, approve time off and timesheets, and conduct performance reviews and goal setting. Other: remain involved in the local community and real estate organizations (e.g., BOMA, NAIOP) and maintain relations with the brokerage community. Seniority level
