Reservations Coordinator – Sonesta International Hotels
We are seeking a Reservations Coordinator to manage the Passkey system and handle group reservations, including sales, catering, airline bookings, and group reservations currently managed by FD.
Job Description Summary The Reservations Coordinator will oversee the Passkey system, continually monitor reservations, and ensure accurate group booking data. The role also involves preparing weekly group pickup meetings, verifying group information, and supporting revenue management and sales departments.
Essential Qualifications
High school education or equivalent
Reservations experience preferred
Hotel experience required
Essential Elements
Regular and punctual attendance
Ability to adhere to Sonesta grooming standards
Proficiency with communication equipment, e.g., telephones, radios, computers
Clear and effective communication with guests and colleagues
Courteous, empathetic, and discreet interaction with guests and staff
Excellent reading, writing, and basic arithmetic skills
Typing proficiency of at least 30 words per minute
Capability to perform tasks requiring repetitive motion and fine motor skills
Job Tasks
Strong organizational skills and ability to prioritize tasks
Act as a reservations agent when needed with strong telephone skills
Strong computer and data entry abilities
Read and format Group Contacts and Recaps according to contract requirements
Attend daily business review and operations meetings to report statistics and guest satisfaction data
Lead weekly group pickup meetings with Sales and Catering
Verify group résumé information at distribution for accuracy
Approve bi-weekly OTA commission reports
Utilize operational systems (OPERA CLOUD, Sonesta Connect, DELPHI, Passkey, Synyx, IDeaS, GDS, Third‑Party Extranet Sites)
Manage all sellouts until arrival day and hand over to Front Office while continuing support as directed
Review and analyze revenue management reports and act accordingly (STAR, Hoteligence, market demand, CRS/PMS/RMS/GDS reports)
Train sales staff on systems, sales techniques, and policies
Assist Area Director of Revenue Management with month‑end reporting (e‑commerce, local corporate, sell‑out efficiency)
Collaborate with Sales & Marketing and Front Office to meet departmental objectives without impacting overall room revenue
Act as Gate Keeper of reservation systems to ensure compliance with pricing, inventory, and policy controls
Track and correct reservation and front‑office errors using a monitoring tool
Maintain balanced room inventory 30 days out for high‑demand periods
Coordinate group inventory daily with Sales, including cutoff date extensions and additions
Review GRC and Delphi reports, recommend daily or weekly strategy adjustments
Ensure accurate forecasting and competitive shop analysis for each hotel
Perform other related duties as assigned by Directors of Front Office and Sales & Marketing
