We provide over 30 outpatient locations with specialists in oncology, women’s health, sports medicine, physical therapy, occupational therapy, and speech‑language pathology, all focused on high‑quality, customer‑focused outcomes.

The

Patient Service Representative

is responsible for delivering professional customer service to ensure operational efficiency and promote a positive patient experience. Duties include patient scheduling, pre‑registration, registration, insurance verification, insurance authorization, and ensuring patients are cleared for outpatient rehab office visits. Additional secretarial, billing, and clerical tasks involve utilizing the electronic medical record (EMR) to schedule appointments, process charges, coordinate referrals, prepare paperwork, and answer phones.

Responsibilities

Greets and registers arriving patients, completing registration forms and verifying insurance.

Answers incoming calls, evaluates priority, and directs calls based on urgency and subject matter.

Provides information to new patients before visits and updates patient demographics.

Collects co‑payments and office charges, explaining payment policies to patients.

Schedules new patient appointments and informs patients of essential preparation requirements (referrals, medical reports, etc.).

Schedules follow‑up appointments, completes requisite forms and pre‑cert exams.

Identifies and resolves patient/clinician issues, escalating concerns to the team lead or manager as needed.

Reconciles billing and co‑pays; refers payment and insurance problems to the Billing Department.

Maintains inventory of office/clinical supplies and keeps an orderly reception area.

Provides backup support to other front‑desk staff and performs related duties to support efficient operations.

Collaborates across the system to improve processes, workflow, outcomes, and patient experience.

Qualifications

High school diploma or equivalent required; associate’s or bachelor’s degree in a clinical or business field preferred.

1–2 years in a medical or healthcare office; knowledge of healthcare terminology, insurance authorization, and benefits.

Proficiency in healthcare terminology and billing practices, with experience obtaining authorizations and benefits.

Bilingual (highly preferred).
