This position provides administrative support to the Sales Manager and Real Estate Agents. Responsibilities
Property Listings Management
MLS (Multiple Listing Service) support. Transaction management (SkySlope platform) auditing, assistance & training, check scanning. M&T check depositing and check printing. Order For Sale Sign installation & removal for every Listing. (Track non-MLS forms as needed)
Facilities Management Support
Receptionist Duties; answer phones and direct calls appropriately. Office A/P invoice processing via Concur platform. Submit and track agents’ marketing reimbursements. Maintain and order office supplies. Troubleshoot printer issues. Copier toner supplies. Communication with HQ Facilities department via Kace Ticketing System.
Marketing
Awareness of Company Branding, Social Media and Marketing Standards Coordinate with area Marketing Coordinator on Weekly Recap communication to office. Support for our Sales Associates with a variety of Marketing tasks & Company tools. Raveis.com & Moxi CMA agent web page support; profiles/bios, testimonials, adding videos Social Media support for sales associates Social Media coordination with Marketing Coordinator Marketing support using company templates on MAXA (online print and digital platform). Office window brochures & displays; create, print and maintain with updated properties. Conduct workshops or 1:1 Trainings as requested. Promote and assist with Sales Meetings and local events. Promote and track company contests.
New Agent Setup
Onboard new Sales Associates - Update the KACE Ticket as items on the Agent Relations ‘New Hire’ onboarding ticket are completed for the new agent. Raveis 365 Overview and tool training. Update office roster, cell phone and address lists.
Knowledge, Skills and Abilities
Experience in Real Estate office environment, with a solid understanding of MLS systems Proficient in Microsoft 365 Suite Social media experience posting to Instagram and Facebook. Solid communication skills to handle email and phone business. Ability to prioritize; meeting shifting demands in a sales environment. Ability to work autonomously. Responsible for making decisions at the local office and communicating closely with management. The ability to stand by those decisions when given a task, and to drive involvement with the agents. Excellent written, editing and communication skills Typing accuracy and speed on computer. Strong customer service skills. Physical Demands
This position requires an individual to sit mostly at a desk, working on a computer. On occasion the position requires standing, reaching, bending, squatting and walking. The maximum requirement to lift is no more than 20 lbs. Hours of Work
