Overview The HR Assistant's primary role will be to provide full administrative assistance to support Human Resources and other management members as assigned. Other general duties include maintaining reports and files and answering general questions about policies, procedures, and benefits. The HR Assistant will update policies and procedures as well as assist other areas in Human Resources as requested, such as coordination and/or administration of a number of projects and programs respectively.

Responsibilities

Support Recruitment with regards to on-boarding new hires and off-boarding employees

Act as first point of contact for new and existing employees regarding HR general questions

Prepare documents, correspondence, memos, surveys and e-mails

Responsible for department filing and maintenance of active and terminated employee files (paper & electronic)

Responsible for preparation and coordination of termination paperwork, including entering termination into appropriate databases

Coordinate and promote employee events, Adopt a Family, discount programs and any new project promotions assigned

Responsible for the administration and coordination of the service anniversary program which includes procuring reward gift catalogs and plaques

Update organizational charts and appropriate databases as re-organizations occur. Prepare and distribute organization charts and associated reporting on a monthly basis

Process all invoices and billing for the department including preparing and tracking check request vouchers, making copies as needed, mailing checks and filing accordingly

Coordinate memorial flowers/donations with local florists

Oversee the delivery of confidential mail and prepare UPS shipping label and certified mail

Assist with compilation of Board Reports

Partner with the Learning and Development Team to coordinate the administration for the Analytical Development program for the ratings division; tracking submissions for reimbursement through course completion and notification to management of salary adjustment eligibility

Responsible for the coordination and administration of the educational financial assistance program for the general staff population, which includes obtaining approval, expense and completion tracking and submission for reimbursement

Responsible for the coordination and administration of the Charitable Work program for the general staff population, which includes obtaining approval, and tracking and notification to payroll

Additional Duties

Act as the back-up receptionist on the switchboard

Greet visitors, sign them in and take their photo

Answer incoming calls and direct calls to the appropriate persons/departments

Assign and collect temporary ID badges from AMB and AMBRS employees

Handle Department mail and distribution

Primary contact for First Aid box and supplies

Assist with special projects as assigned

Qualifications

High School Diploma required; Associate’s Degree or Bachelor’s Degree in a related field a plus

Two years related experience in a Human Resources function

Skills

Proficiency in Microsoft Office required

Excellent client service and communication skills

Ability to work in a team orientated environment maintaining cooperative working relationships

Ability to work independently in a time sensitive environment

Must maintain department confidentially at all times

Ability to work under pressure and multi-task requiring excellent prioritization skills
