Office Manager / Managing Attorney Position Overview
We are seeking a professional, organized, and personable receptionist to join our busy small-town law firm. The ideal candidate will be the first point of contact for clients and visitors, providing a welcoming and efficient experience. This role requires multitasking across administrative, client-facing, and light legal support duties. Key Responsibilities
Front Desk Duties:
Greet clients and visitors warmly and professionally. Answer and direct incoming phone calls. Manage the firm’s general email inbox and respond to inquiries. Maintain a clean and organized reception area.
Scheduling & Coordination:
Schedule client consultations, meetings, and court dates. Coordinate attorney calendars and meeting logistics.
Client Interaction:
Assist walk-in clients with inquiries and paperwork. Ensure confidentiality and professionalism in all client interactions.
Document Preparation:
Draft basic real estate documents (e.g., deeds, purchase agreements, closing statements). Assist attorneys with document formatting and proofreading.
Accounts Receivable Support:
Help track client payments and outstanding balances. Generate invoices and follow up on overdue accounts. Work with the accounting team to reconcile payments.
Qualifications
Previous experience in a legal, administrative, or customer service role preferred. Familiarity with real estate documentation is a plus. Strong communication and interpersonal skills. Proficiency in Microsoft Office Suite and scheduling software. Ability to multitask and maintain composure in a fast-paced environment. High level of discretion and professionalism.
