Job Summary The College of Nursing at the University of Utah seeks an energetic, engaging new member of our administration team to serve as our Office Support Coordinator. This position is central to numerous functions requiring an in-person presence at the College of Nursing front desk of the Administrative Suite area and will engage with faculty and staff across the college.

We seek a team member with stellar communication and prioritization skills, attention to detail in following processes, ability to track small projects over time to completion as well as anticipate and plan for future needs, once trained. This position will collaborate with every department and functional area in the College as needs arise, as well as numerous on-campus service groups and external vendors.

Responsibilities Reception Receive visitors and deliveries to the College of Nursing

Answer the general College of Nursing phone line

Provide general information and direct visitors and callers to other resources

Office Coordination Proactively engage in process improvement for your area and scope of work

Oversee mailroom and daily intake and sorting of mail

Complete facilities related tasks in the onboarding and offboarding of new staff and faculty (office keys, building access)

Assist with scheduling and parking arrangement for CON events

Coordinate office maintenance and office moves

Point of contact for telephone line assignments and support

Other relevant duties as assigned

Facilities Liaison Report building maintenance and safety concerns to appropriate University department and track resolution including classrooms, offices, and common areas

Responsible for overseeing building security status for employees and students and monitoring and entering updates in the security system

Minimum Qualifications EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Office Administrator, I:

Requires a bachelor’s (or equivalency) + 2 years of directly related work experience or a master’s (or equivalency) degree.

Office Administrator, II:

Requires a bachelor’s (or equivalency) + 4 years or a master’s (or equivalency) + 2 years of directly related work experience.
