OFFICE ASSISTANT DEFINITION
Under the direction of an assigned supervisor, perform a variety of general clerical duties in support of an assigned office; answer the telephones, greet and assist students, parents and visitors.
**Key duties include:**
- Typing, filing, duplicating and distributing materials; composing routine correspondence, bulletins and reports; proofreading completed typing assignments.
- Serving as receptionist, answering telephone calls, directing and taking messages, and providing general information to District personnel and the public.
- Compiling information and preparing and maintaining logs, files and records related to assigned activities; reviewing and verifying the accuracy and completeness of documents; processing forms and applications.
- Receiving, sorting and distributing mail; preparing and distributing informational packets and bulk mailings as directed.
- Operating a variety of office equipment including a copier, fax machine, typewriter, computer and assigned software.
- Communicating with other departments, District staff and outside organizations to exchange information and resolve issues or concerns related to assigned activities.
- Assisting in monitoring inventory levels of office supplies and materials; ordering, receiving and maintaining inventory.
- Participating in school office functions such as pre‑registration and registration of students at the school site; collecting and processing appropriate information as assigned.
- Maintaining accurate student cumulative records, including mandatory health records and English Language Development records; recording grades, transfer student records and emergency cards; preparing student accident reports.
- Assisting with basic first aid to students and staff; notifying parents of ill or injured students; maintaining the health office in a clean, orderly and safe condition; administering medication in accordance with District protocol and maintaining related records.
Qualifications
Knowledge of modern office practices, procedures and equipment. Telephone techniques and etiquette. Basic record-keeping and filing techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Operation of standard office equipment, including a computer. Oral and written communication skills. Interpersonal skills using tact, patience and courtesy. Maintenance of student cumulative records, including confidential health records (e.g., immunization records). Health and safety regulations. Basic first aid and CPR procedures. Ability to perform routine clerical duties such as filing, typing, duplicating and maintaining routine records. Answer telephones and greet the public courteously. Type or input data at 40 words per minute from clear copy. Understand and follow oral and written directions. Communicate effectively both orally and in writing. Complete work with many interruptions. Receive, sort and distribute mail. Develop and maintain cooperative working relationships with those contacted in the course of work. Administer first aid and CPR in emergency situations. Observe District health and safety regulations. Work confidentially with discretion regarding student cumulative records. Education and Experience
Any combination of education, training and/or experience equivalent to graduation from high school and sufficient training and experience to demonstrate the knowledge and abilities listed above. A valid First Aid and CPR Certificate issued by an authorized agency within three months of employment is required. Working Conditions
Indoor work environment. Employee must be able to: enter data into a computer terminal/typewriter and operate standard office equipment; sit for extended periods of time; see and read a computer screen and printed matter with or without vision aids; hear and understand speech at normal levels and on the telephone; lift and/or carry up to 25 lbs at waist height for short distances; bend at the waist; reach overhead, above the shoulders and horizontally; grasp, push/pull.
