The Client Services Lead is responsible for overseeing the daily operations and overall functionality of the office. This role ensures a well-maintained, fully stocked, and welcoming environment for employees and visitors, while managing vendors, services, and expenses to support efficient business operations. Key Responsibilities • Ensure all areas are stocked, stationery, snacks, beverages, coffee, bathroom supplies • Track, manage, and order all inventory, snacks & beverages • Receive all grocery deliveries, mail, and packages • Ensure office space is tidy and clean at all times • Maintain conference rooms & phone booth pods • Weekly fridge maintenance, discard items • Manage all office service requests • Manage visitor access and badges • Cover reception area at all times • Host guests, greeting them, understanding the team they came to see, showing them the office, IT team, and unoccupied desks • Organize VPs, Chiefs, HR visits to the office with current EA (badges, building access, room needs, etc) • Network with employees to identify areas for improvement • Audit every part of the office. Share improvements proposal + average costs with manager for approval • Lead all storage area upkeep and organization • Analyze monthly expenses • Mother’s Room upkeep • Plan, coordinate, and execute all events/activations • Cross team communication • Propose event calendar for the year • Manage vendors for building and all other services • Oversee all maintenance, repairs, construction work & cleanings • Create, circulate, and analyze office survey results • Submit all catering orders • Submit all office expenses weekly • Manage Fedex corporate account, create shipping labels, order shipping packaging • Plan and decorate for all major holidays • Reserve conference rooms as needed • Coordinate with building team and communicate all fire safety protocols and drills • Assist with office moves as needed Physical Demands: • Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs. • Ability to walk, bend, kneel, stand, and/or sit for an extended period of time. • Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.). • Physically able to talk on the phone and input data simultaneously. • Ability to lift or move 40 lbs. or greater frequently. • Specific vision abilities required by this job include close vision, distance vision, ability to adjust focus and ability to match or detect differences between colors, including shades of color and brightness.
