Job Summary The Supply Planning Specialist will serve as the central liaison between UPL and other entities, ensuring seamless coordination across supply chain activities, tolling operations, and export logistics. This role demands proactive communication, meticulous planning, and execution excellence to manage the end‑to‑end supply and shipment process. The role holder will maintain strong relationships with internal and external stakeholders, including tech suppliers, tollers, carriers, and finance teams, to ensure timely and accurate delivery of products and documentation.
Job Responsibilities Communication & Coordination
Demand forecasting:
Analyzing demand for our key products to predict material needs accurately. Aligning these requirements with key tech suppliers and synchronizing production with tollers.
Inventory management:
Monitoring current inventory levels to ensure alignment with demand forecasts, preventing shortages or excess stock, particularly concerning tech and packaging materials.
Coordination with suppliers:
Placing orders, monitoring delivery schedules, and negotiating service levels to maintain a smooth flow of materials, thereby reducing supply chain disruptions.
Supporting production:
Working closely with production and procurement departments to ensure materials are available when needed for manufacturing processes. Communicating with key accounts to address supply timing, order accuracy, pricing, and operational updates.
Responding to key account queries:
Handling multiple weekly queries to ensure timely resolution and maintain customer satisfaction; coordinating with suppliers and tollers regarding tech receipt, production plans, and shipment readiness.
Export documentation & compliance:
Posting production in SAP, communicating with carriers to schedule truck dispatch and shipment pickups, and filing export documentation with U.S. Customs to ensure compliance as UPL is the exporter.
Supply continuity:
Forecasting demand, managing inventory, and coordinating with suppliers to prevent shortages and overstocking.
Execution and documentation:
Placing monthly purchase orders with key tech and packaging suppliers, receiving goods in SAP and managing GR/IR processes, issuing tolling purchase orders, posting production receipts in SAP multiple times a week, creating carrier bookings, uploading shipping and export documents, and collaborating with finance to invoice customers accurately.
Quality & documentation:
Working with tollers and UPL QA to generate COAs, maintaining contact with carriers for shipment dates and BOL copies, and sending comprehensive shipping documentation packages post‑dispatch.
Execution & Documentation Reiteration
Place monthly purchase orders with key tech and packaging suppliers.
Receive goods in UPL SAP and manage GR/IR processes.
Issue tolling purchase orders and post production receipts weekly.
Create carrier bookings once ready for shipment.
Upload and manage all shipping and export documents.
Collaborate with UPL Finance to invoice customers accurately.
Work with tollers and UPL QA to generate COAs and required documentation.
Maintain contact with carriers for shipment dates and BOL copies.
Send comprehensive shipping document packages to key accounts post‑dispatch.
Required Education and Experience
Bachelor’s degree in Supply Chain, Business, Agriculture, or related field.
3–5 years of experience in supply‑chain coordination, logistics, or planning roles.
Experience working with SAP and export documentation processes.
Familiarity with tolling operations and third‑party supplier management.
Strong communication and stakeholder management skills.
Detail‑oriented with excellent organizational and follow‑up capabilities.
Ability to work independently and manage multiple priorities.
Proficiency in SAP, Maersk booking systems, and Microsoft Office Suite.
Knowledge of international shipping regulations and customs documentation.
