The Electric Supply Engineering (ESE) Document Management team manages the Electrical Engineering Records (ERC) supporting Electric Supply Operations. The team oversees record management during the execution phase of capital projects in coordination with Engineering and the Project Management Office (EPMO). Additionally, the team provides drafting support, maintains Computer-Aided Drafting (CAD) standards, and ensures configuration management for Operations. This group plays a vital role in delivering the company’s capital investment strategy and ensuring accurate, up-to-date engineering records. Position Summary:
The Document Control Specialist I supports project document control activities for construction and engineering projects. This role ensures accurate processing, distribution, and archiving of project and engineering documentation while maintaining compliance with company standards and procedures. The ideal candidate is detail-oriented, organized, and thrives in a team-oriented, fast-paced environment. Key Responsibilities: Collaborate with engineering personnel to ensure compliance with document review and record requirements. Process engineering and project records, including drawings, manuals, transmittals, correspondence, and Engineering Change Notices (ECNs). Support projects through all phases — design, construction, and close-out — by managing document control activities. Maintain and update electronic databases for tracking, transmitting, and distributing documents and vendor submittals. Generate and distribute reports for daily, weekly, and monthly operating reviews. Request and assign controlled document numbers (e.g., wiring diagrams, P&IDs, circuits, raceways, valves, conduits) in accordance with established numbering conventions. Audit and assess records for accuracy and completeness; identify issues and support corrective actions. Assist in updating and maintaining document management procedures. Provide hard-copy documents and critical drawings for construction and project close-out deliverables. Coordinate with Plant Document Control to ensure proper turnover of project documentation. Essential Functions and Skills: Excellent communication, organizational, and customer service skills. Ability to multi-task, prioritize, and adapt to shifting priorities. Strong teamwork and leadership capabilities; able to work independently when required. Familiarity with SAP and other enterprise systems. Strong analytical and problem-solving skills. Experience interacting with engineering, plant, and drafting personnel. Ability to manage and deliver against project milestones. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and Adobe Acrobat Pro. Knowledge of plotter and scanner operations; able to handle large format prints. Commitment to safe work practices and adherence to company compliance standards. Preferred Experience and Qualifications: 2–4 years of experience in records management, document control, or a related administrative role. Experience with document control software such as ProjectWise, Primavera Unifier, CM14, or Prolog. Coursework or an Associate degree in Information Science, Data Processing, or a related field Prior experience in utility, engineering, or construction environments. Experience with database management and controlled documentation systems. Physical Requirements: May involve carrying large rolled prints to various locations within plants or project sites.
