About the Role We are seeking a highly organized and proactive

Project Coordinator / Administrator

to play a pivotal role in supporting the successful delivery of projects. This position provides critical administrative and project support, ensuring seamless execution, effective communication, and timely progress across all project phases.

The ideal candidate is a self-starter with strong organizational skills, excellent attention to detail, and the ability to handle multiple priorities in a fast-paced environment.

Key Responsibilities Project Administration & Coordination

Manage calendars, schedule meetings, and coordinate workshops and training sessions for project teams.

Oversee general office administration, document control, and organization.

Draft correspondence, compile project data, and prepare project reports and literature.

Act as a liaison between internal and external stakeholders to ensure project alignment.

Project Monitoring & Reporting

rack action items, project tasks, milestones, and deliverables to ensure timely completion.

Verify project milestones and provide regular, accurate project status reports.

Maintain project documentation, including status reports, workflows, configuration guides, and meeting minutes.

Commercial & Contract Support

Assist with commercial oversight, contract evaluations, and reconciliation of invoices and purchase orders.

Support project managers in analyzing project-related matters.

HRIS / Workday Implementation Support

Assist with planning, scheduling, and monitoring HRIS (Workday or similar platform) projects.

Coordinate testing efforts, including developing test scripts, scheduling, and tracking results.

Support change management, including developing user guides, training materials, and facilitating training sessions.

Provide post-implementation administrative support for HRIS enhancements and maintenance.

Requirements

Bachelor’s degree in Business Administration, Human Resources, Engineering, Construction, Planning, or a related field.

10+ years

of experience in Engineering, Construction, or Planning

with exposure to modular construction and heavy haul logistics , OR

2+ years of experience in HR or project coordination roles with HRIS project exposure .

Experience with Workday or similar HRIS platforms (highly desirable).

Strong organizational, analytical, and time management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Project) and project management tools.

Familiarity with Agile or other project management methodologies.

Willingness to travel up to 50%.

Strong problem-solving, objective analysis, and attention to detail.

Ability to work independently as well as collaboratively within a team.

Project Management coursework or certification is a plus.
