We have an exciting opportunity to join our team as a Secretary II. Responsibilities
Provides basic front-desk support for clinical intake operations. May assist less senior staff with completing intake related duties. Answers patient questions to ensure understanding and patient satisfaction. Maintains confidentiality on matters to which they are privileged. Schedules routine appointments and follow ups for visits and procedures that do not require or have already been pre-authorized. Prepares the daily schedule. Refers inquiries regarding pre-authorizations/certifications to the Medical Secretary. Maintains and receives files for the area in an organized and up-to-date manner to facilitate retrieval. Completes filing per departmental procedures. Distributes documents and forms according to content and procedures. Logs materials with respect to time and data when applicable. Processes incoming and outgoing documents. Secures appropriate signatures and forwards documents to correct destinations. Maintains copies for files. Faxes documents per departmental procedures. Maintains supplies and cleanliness of space; restocks supplies as needed. Notifies supervisor of shortages. Performs other related duties as needed by providers and supervisors. May assist, provide guidance and/or train less senior staff with completing intake related duties. Prepares simple, routine memorandum letters, labels, routine manuscripts, correspondence and other documents as needed. Reviews work for accuracy and completeness. May maintain routine calendar and assist in basic conference preparation. Provides reception assistance (greeting patients, answering calls, directing requests to proper individuals). Screens telephone calls professionally; takes messages or directs callers to appropriate person or area. Responsible for patient check-in and check-out. Gathers patient demographic data and materials. Obtains insurance information, verifies eligibility electronically, collects patient photo, and asks patients to use Patient Secure. On subsequent visits, verifies and edits demographic information as needed. Collects and asks patients to sign patient-related documents including HIPAA, MSPQ, ABN, etc. Follows up to gather missing data and materials to complete the intake process or refers to more senior staff. Scans necessary documents (insurance cards, lab requisitions, etc.) into the intake system. Monitors intake work queue for timely completion. Refers patients regarding insurance coverage or financial matters to the Business Office Associate as appropriate based on established criteria. Maintains cooperative and professional relationships with physicians, nurses and office/clinical staff. Types routine materials such as forms and letters neatly and accurately according to instructions. Writes clearly and legibly. Minimum Qualifications
High School diploma or equivalent. Three (3) years of medical clerical experience. Knowledge of medical terminology. Computer literacy preferred. Light, accurate keyboarding skills required. Excellent organizational, interpersonal and communications skills required. Preferred Qualifications
Knowledge of computer-based scheduling and appointment programs. Excellent telephone skills. Prior physician practice experience. Qualified candidates must be able to effectively communicate with all levels of the organization.
