Business Development Coordinator

to join our team. This role is critical in supporting business development, ensuring compliance, and managing various administrative tasks. The ideal candidate will collaborate with cross-functional teams to coordinate proposals, manage prequalifications, maintain compliance software, and oversee administrative functions to support company operations. Responsibilities: Proposal and Prequalification Support: Review RFPs, identify action items, and assign responsibilities using tracking tools. Coordinate team meetings, follow-ups, and deliverables to ensure timely submission. Develop project-specific organizational charts and gather relevant resumes. Research project references and assist with write-ups, revisions, and proofreading. Coordinate prequalification submissions, ensuring accuracy and compliance with requirements. Compliance and Certifications: Maintain and update compliance software systems (e.g., ISNetworld, Avetta, Compass). Coordinate OSHA and insurance updates, track invoices, and route for approval. Manage city, county, and federal certifications (e.g., LBE-WBE, SAM.gov updates). Software and Tools Management: Coordinate and quality-check Salesforce forecasts and troubleshoot user issues. Liaise between internal teams and external Salesforce partners. Develop and maintain tools in Tableau, ensuring data accuracy and proper invoice routing. Administrative Duties: Manage plotter maintenance, supply orders, and expense reporting. Coordinate department events, calendars, and NDA processes. Assist with PowerPoint template updates and Procore bid folder creation. Marketing and Community Projects: Support marketing initiatives, including editing newsletters and coordinating launches. Manage RFP narratives and project references for internal and external use. Assist with community projects, charity events, and annual gift coordination. Special Projects: Support website development milestones, including design and content updates. Coordinate contractor licenses and other ad hoc tasks as needed. Requirements: Bachelor’s degree in business administration, marketing, or a related field (or equivalent experience). 2+ years of experience in proposal management, compliance, or a similar role. Proficiency in Microsoft Office Suite, Salesforce, and tools like Tableau or Procore. Strong organizational skills and ability to manage multiple projects simultaneously. Excellent written and verbal communication skills. High attention to detail required. Able to work in a fast-paced, high-pressure environment required. Familiarity with compliance platforms like ISNetworld and Avetta. Experience in the construction or engineering industry is a plus. Ability to collaborate with cross-functional teams effectively. Proven ability to write and edit project summaries, resumes of project personnel, and other supporting information. Strong time management and task prioritization skills required to ensure timely submittal of project bids required.
