Job Summary
The Licensing Coordinator & Supervisor is a key supervisory role responsible for overseeing business license compliance across a multi-state, multi-entity organization. This role ensures timely acquisition and renewal of required business licenses while assisting with alcohol/liquor licenses by collaborating closely with the Legal and Tax departments. The role also includes process improvement, supervision of compliance staff, and contributing to strategic licensing initiatives. Key Responsibilities
Oversee the day-to-day activities related to business license compliance, including the preparation, submission, and renewal of license applications, data management, and payment processing. Serve as the primary liaison with the Legal department on all alcohol and liquor license matters handled by the Tax Department. Provide guidance and support to field operations and business units managing location-specific licensing obligations. Review, maintain, and improve documentation of licensing processes, offering recommendations to leadership for enhanced compliance and efficiency. Identify opportunities for process automation and operational improvements, leading or supporting their implementation. Assist with resolution of licensing issues, notices, or correspondence with local or state jurisdictions. Lead and mentor licensing compliance staff, fostering a culture of continuous improvement, accuracy, and accountability. Collaborate with third-party vendors and service providers as needed. Support the Controversy & Research team in the preparation and management of audits or regulatory inquiries. Foster effective, professional relationships with internal stakeholders, including peers, direct/indirect reports, management, and external partners, with a focus on teamwork and exemplary customer service. Perform additional duties and special projects as assigned by management. Qualifications
High School Degree required, Associates or Bachelors preferred. Certifications or licenses will be strongly considered, such as paralegal or Project Management Professional (PMP). 7+ years of progressive experience in licensing, compliance, or related functions within a large corporation or public accounting firm. 4+ years of previous supervision experience preferred. Proven experience managing or coordinating business licensing activities or a similar compliance function across multiple jurisdictions. Strong understanding of compliance issues in a complex, multi-entity and multi-state environment. Experience with ERP systems (SAP preferred). Familiarity with licensing platforms and software tools (e.g., License Pro, License HQ). Excellent communication skills with the ability to effectively interact with Legal, Tax, senior leadership, external advisors, and other internal teams. Exceptional organizational, analytical, and problem-solving skills. Self-directed, proactive, and capable of working both independently and collaboratively in a fast-paced environment.
