Academic Program Coordinator This position provides administrative support to the Director of Graduate Studies and Undergraduate Teaching Coordinator and collaborates with the Business Office for associated tasks. Additionally, this position provides student academic advising by meeting with students to recommend courses for the upcoming semester.

Responsibilities

Provide administrative support to Director of Graduate Studies and Undergraduate Teaching Coordinator.

Manage student records, admissions, and program acceptance using UGA and Graduate School systems.

Prepare graduate assistantship offer letters and manage related fee/tuition charge entries in consultation with the Business Manager and Department Head.

Organize data for undergraduate and graduate program assessment.

Work with Director of Graduate Studies to maintain and update the Graduate Student handbook.

Serve as a resource to graduate students on departmental and Graduate School procedures and policies.

Work with the Undergraduate Teaching Coordinator/Director of Graduate Studies on course schedules to ensure all courses are entered into the course scheduling platforms and create any research sections, special courses, thesis and dissertation research and writing courses, and other courses as needed.

Provide PODs and other clearances and clear academic holds for student registrations.

Enter new departmental courses and course changes into CAPA and work with Director of Graduate Studies and Undergraduate Teaching Coordinator to provide updates to majors and degree programs in PARC.

Coordinate MOUs for student internships for undergraduate students.

Assist with department course evaluations.

Manage departmental scholarship application process and summarize for evaluation and notification. Work with the business office to administer and post scholarships in Scholarship Universe.

Manage applications and submission of college and graduate school awards including travel awards, fellowships, and scholarships. Work with the business office to administer funded awards. Coordinate planning and execution of undergraduate and graduate academic activities.

Meet with students to recommend courses for upcoming semester, prepare advising forms, answer student questions, direct students to campus resources on campus.

Interaction with and routine participation in advising events (e.g., workshops, Orientation for assigned students), and CAES advisor meetings.

Qualifications

Bachelor's degree in a related field or equivalent.

Master's degree, prior professional advising experience, prior course scheduling and academic programs support.

Knowledge of the University's rules, regulations, policies, and procedures pertaining to student degree completion.

Effective problem solving and interpersonal communication skills.

Ability to establish and maintain effective working relationships.

Ability to interpret policies and procedures and communicate these effectively to students and faculty.

Demonstrates familiarity with theories related to advising, student development, and learning cognition.

Physical Demands

Sit for long periods of time.

Lift up to 15 pounds, occasionally 20 pounds.

Employment Information Work Schedule: Monday – Friday, 8 am – 5 pm. Occasional nights and weekends as directed by supervisor. Salary: Commensurate with Experience.
