AP Specialist
Location:
Washington, DC (Southeast - Navy Yard)
Responsibilities: • AP Specialist will be responsible for high volume AP (around 500 invoices/week) • AP Specialist will receive invoices through the AP inbox, mail, or project managers will hand the invoices to the AP Specialist • Invoices have addresses on them that the AP Specialist will match to a list of job numbers (sometimes Project Managers put the job # in the reference) • A complicated part of this is that our client has blanket contracts with some vendors, so sometimes more than one job number will be on an invoice, must be allocated correctly. • Invoices are then uploaded into QuickBooks and set up for payment. (Our client is in the process of moving to ACH, but this is still in process). • Will be less than 500 checks/week going out because some payments are already set up as ACH's • Check runs are on Wednesdays - checks are cut, then they're handed over to the Accounting Manager for signature by President. • Once signed, checks will be given back to the AP Specialist who puts them into an envelope and mails to the vendor. • AP Specialist will be sitting in the front of the office, occasionally will need to open the front door to greet/let a visitor in (typical visitors are Amazon deliveries or water deliveries) • AP Specialist will complete hoc tasks and projects, as requested
Requirements: • Ideally 3+ years full cycle AP experience • Construction or similar industry with project-based transactions would be a plus but NOT required • Previous QuickBooks Online experience is a plus but not required if someone has experience utilizing another accounting system • Outlook - experienced sending and receiving emails • Basic Excel skills • Able to download and update attachments • Should be comfortable printing off documents, as requested
