What You’ll Do

Prepare or assist with the preparation of project proposals (Word, Excel, or PowerPoint). Monitor and track the project’s progress in Deltek and assist in any issues that arise.

Process proposals/contracts and create/edit large documents in Word.

Assist in the execution of project-specific contracts, service agreements, purchase orders, invoicing, etc.

Coordinate with GSC Contract Administrator and/or Business Manager to manage aspects of contracts to protect the company’s interest and simultaneously maintain a good relationship with the customer. Act as liaison between Consultant and Client to ensure initiation of contract through signature stages.

Assist (as needed) with consultant needs for the production of specifications, templates, reports, or additional information needed for clients – that could include formatting and proofreading in Word, PowerPoint, Excel, or InDesign.

Perform quality control (QC) reviews of documents, including formatting, spelling, grammar, punctuation, consistency in number/type of units, etc.

Assist/Provide reports to Business Managers as needed, as well as assist (as requested) other Lerch Bates Area offices.

Assist with obtaining Certificate of Insurance (COIs) based on each project’s contractual needs.

In a professional manner, aid in making/receiving calls (LB, Clients, and Vendors), message relay, and coordination between consultants.

Support RFP/RFQ/RFI fulfillment.

Organize and maintain electronic project files.

Adhere to all company policies, procedures, and business ethics codes and ensure that they are communicated and implemented within the team.

Perform administrative duties such as office filing, copying, printing, scanning, sending, and disseminating mail/ packages, in-person meeting prep, and workstation set-up for new hires.

Perform receptionist duties such as answering and directing calls, ordering office supplies, and overseeing breakroom.

Supports with coordination & planning of events.

Additional duties as assigned by the manager.

\ What You’ll Bring

High School Diploma required. Two or more years of college preferred.

Two or more years of previous, applicable experience.

Intermediate or better knowledge with Microsoft Office applications: Excel, Word, PowerPoint, and Outlook. Web-based applications and databases.

Working knowledge of accounting software preferred. Deltek knowledge is a plus.

Demonstrated ability to multitask and maintain professionalism through multiple interruptions.

Strong critical thinking skills, innovative, detail-oriented, and self-motivated with ideas and recommendations for increased productivity and efficiency.

Ability to coordinate or lead employees and subcontractors among different levels of the organization to accomplish work activities.

The drive to assume responsibility for work outcomes and results of other workers.

Ability to work independently in a fast-paced environment.

Strong knowledge of English grammar, spelling, and punctuation.

Strong organizational skills and attention to detail.

Ability to work on many different projects at one time.

Must be a self-starter and possess the ability to build relationships.

Ability to coordinate own and others’ actions.

Experience with elevator industry terminology a plus.

Ability to maintain and operate with a high level of professionalism and flexibility, adapting to a changing office environment and working with internal and external clients/coworkers and executives.

Experience exercising discretion and confidentiality with sensitive company information.

Physical Demands This role involves regular sitting, talking, and hearing in meetings and by phone. Employees must navigate tight spaces, climb ladders, move around construction sites, take measurements, and travel by car, air, or rail. Duties may involve working at heights and in confined spaces, using hands for tasks like typing and operating elevator components, and applying up to 30 lbs. of force. Close visual attention is also required.

Mental Demands This position requires strong written and verbal communication, problem-solving, and analytical skills. Employees must interpret complex information, apply mathematical and logical reasoning, quickly learn new skills, and manage detailed, multitask workloads under shifting deadlines. Regular interaction with executives, colleagues, clients, and external stakeholders is also expected.
