Event Coordinator
Denver, CO The Event Coordinator plays a key role in delivering memorable, mission-driven events that celebrate and engage RMPM's Friends and statewide audiences. Reporting to the Senior Manager, Event Strategy & Operations and working in close collaboration with the Event Producers, the Event Coordinator provides essential operational and logistical support before, during, and after RMPM's live and virtual events. This role is hands‑on and detail‑oriented – supporting everything from vendor coordination and registration setup to guest communications, on‑site logistics, and post‑event reporting. The Event Coordinator helps ensure each event reflects the warmth, inclusion, and excellence that RMPM stands for. Essential Duties & Responsibilities
Pre-Event Support
Assist Event Producers in developing and maintaining project timelines and task lists for upcoming events. Build and maintain event registration pages and RSVP lists, ensuring accuracy and alignment with branding and accessibility standards. Support communications and outreach efforts, coordinating with the Membership and Marketing teams to ensure consistency across platforms. Coordinate and confirm logistics such as venue details, catering, volunteer assignments, and audiovisual needs. Prepare event materials (signage, name badges, check‑in lists, collateral) and ensure inventory and supplies are organized.
Event Execution
Provide on‑site event support, assisting with setup, check‑in, guest experience, and tear‑down. Serve as a welcoming point of contact for attendees, partners, and volunteers. Ensure event spaces are well‑prepared and reflect RMPM's brand and hospitality standards. Support the Event Producer in troubleshooting issues and ensuring a smooth attendee experience.
Post-Event Follow‑Up
Assist in collecting and organizing event data, attendance reports, and feedback surveys. Support thank‑you communications, follow‑up outreach, and cataloging of photos, videos, and key event documentation. Help maintain organized records of event materials, vendor invoices, and post‑event reports.
Administrative and Team Support
Maintain up‑to‑date event tracking in project management tools such as Monday.com and Slack. Support vendor communications, invoicing, and contract processing as directed. Participate in cross‑departmental meetings to ensure alignment of event goals and execution. Other duties as assigned.
Minimum Qualifications Of Position
1‑2 years of experience in event coordination, project support, or administrative assistance – preferably in a nonprofit, public media, or community engagement setting. Demonstrated ability to manage multiple projects with strong attention to detail and follow‑through. Excellent interpersonal and written communication skills, with a customer service mindset. Proficiency with tools such as Microsoft Office, Outlook, and event or project management platforms (e.g., Monday.com, Eventbrite, Classy). Additional Qualifications Of Position
Must be able to work evenings and weekends as needed for events. Must possess a valid driver's license and be able to travel throughout Colorado.
